Administrative Analyst, School of Management
Job Summary
The Lucas College and Graduate School of Business (LCoB) at San Jose State University is seeking an Administrative Analyst/Specialist to support the School of Management. This role involves a broad range of administrative, technical, and analytical duties.
Key Responsibilities
Prepare and process all appointment documentation for faculty, including collection of documents outside of CHRS.
Generate temporary faculty appointments each semester and edit documentation as needed.
Manage the annual evaluation process for temporary faculty, including scheduling and recording peer evaluations.
Lead faculty recruitment for both Tenure-Track and Temporary positions, including travel arrangements.
Analyze and improve School of Management processes to benefit faculty, staff, and students.
Develop and coordinate academic course schedules, collaborating with the Lucas Graduate School Associate Dean.
Enter faculty assigned time into APDB and ensure approvals.
Run and create reports, including SJSU Labor Distribution reports.
Respond to inquiries from faculty, staff, and students regarding procedures and policies.
Monitor School of Management funds, reconcile expenses, and report balances.
Forecast budget for all accounts and assist with faculty funding splits.
Identify and resolve purchasing, accounts payable, and budget issues.
Assist new faculty with relocation procedures and disseminate procedures.

Ability to work cooperatively and professionally with others.
Working knowledge of accounting structure and expense accounts.
Ability to analyze data and make accurate projections.
Proficiency in SJSU applications and PC compatible software.
Ability to handle multiple work priorities and maintain confidentiality.
Required Qualifications
A bachelor's degree and/or equivalent training.
Administrative work experience involving study, analysis, and/or evaluation.
Preferred Qualifications
Experience with Zoom, MS Office, OnBase, and DocuSign.
Experience with PeopleSoft, course scheduling, faculty appointments, and University Personnel procedures.
Customer service and budget preparation experience.
Experience with financial software and business mathematics.
Compensation
Classification: Administrative Analyst/Specialist – Non-Exempt
Anticipated Hiring Range: $5,405/month - $5,736/month (Step 7 – Step 10)
CSU Salary Range: $4,799/month - $6,992/month (Step 1 – Step 20)
