Administration Officer
About the role
Reporting to the Residential Service Manager, the Administration Officer provides high-quality administrative and logistical support to residential services. Acting as the first point of contact, this role manages reception, communications and key administrative processes, ensuring a professional, responsive and resident-centred service.
Responsibilities
- Create a welcoming, inclusive front-of-house environment
- Manage phone calls, emails, enquiries and visitor entry requirements
- Act as the first point of contact for residents, families and visitors
- Provide administrative support including preparing correspondence, reports, agendas and minutes
- Process incoming and outgoing correspondence accurately and in a timely manner
- Support resident administration processes including admissions, records and reporting
- Aid accounts administration, including invoice processing
- Maintain accurate records across systems and databases
- Organise diaries, meetings, appointments and travel arrangements
- Monitor and order office supplies and coordinate maintenance of office equipment
- Respond to feedback and complaints with professionalism and escalate where required
- Ensure confidentiality, privacy and accurate handling of sensitive information
- Work collaboratively with staff to support smooth operations and a positive resident experience
Requirements
- Proven experience in administration and office support roles
- Strong customer service and communication skills
- Proficiency in Microsoft Office and administrative systems
- Strong organisational and time management skills
- Ability to manage competing priorities and work independently
- Understanding of confidentiality and privacy requirements
- Experience working as a first point of contact handling enquiries and feedback
- Experience in aged care or healthcare (highly regarded)
Qualifications
- Certificate III or IV in Business Administration (desirable)

$31.63 per hour + Super + Not for Profit Salary Packaging + Penalties & Allowances
