About the role
Position Announcement Utah Valley University is seeking an Administrative Assistant in the Business Resource Center to support the day-to-day operations of the Entrepreneurship Institute. This role is an opportunity to make a meaningful impact by providing exceptional customer service, keeping office operations and records organized, supporting events, and assisting with budget and payroll processes. As a welcoming first point of contact for guests, the Administrative Assistant will help create a positive experience while providing essential support that allows the Entrepreneurship Institute to advance its mission and serve its community.
Responsibilities
- Serve as the first point of contact, providing accurate information to guests in a professional manner.
- Manage front desk coverage, answer phones, and monitor the department’s general email inbox.
- Schedule and coordinate meetings, appointments, and event logistics, including reserving rooms and spaces.
- Perform general office duties such as filing, ordering and receiving supplies, monitoring inventory, and maintaining office equipment.
- Support the planning, organization, and execution of department and student events.
- Prepare and process departmental financial documents, including TIMs, ePAFs, requisitions, purchase orders, travel requests, and budget reconciliations.
- Track index balances and monitor departmental expenditures to support budget management.
- Assist with payroll processes, including preparation, submission, and maintenance of payroll and time records.
- Work closely with the department director to maintain accurate financial records and reports.
- Provide additional administrative support as needed for Entrepreneurship Institute initiatives, events, and programs.
- Assist with special projects to support the mission of the Entrepreneurship Institute and Woodbury School of Business.
Qualifications
Required:
- Graduation from an accredited institution with a bachelor's related to the Summary of Duties or any combination of education and/or experience totaling four years.
Preferred:
- Bachelor’s degree in business, communications, or a related field.
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience in customer service or office management in a professional environment.
Knowledge, Skills, and Abilities
Knowledge:
- Knowledge of general office practices and procedures, including filing systems, scheduling, and customer service standards.
- Familiarity with basic accounting and financial processes, including budget tracking and processing financial documents.
- Understanding of confidentiality requirements and the ability to interpret and apply UVU and Woodbury School of Business policies and procedures.
Skills:
- Skilled in using Microsoft Office Suite (Word, Excel, Outlook) and the ability to quickly learn university systems (Banner, Concur, etc.).
- Strong organizational and time management skills with attention to detail.
- Excellent written and verbal communication skills to effectively interact with students, faculty, staff, and visitors.
Abilities:
- Ability to manage multiple tasks simultaneously, prioritize responsibilities, and meet deadlines.
- Ability to maintain confidentiality and handle sensitive information appropriately.
- Ability to work independently and collaboratively as part of a team in a professional, customer-focused office environment.
