About the role

The Center for Therapeutics Discovery at Sanford Burnham Prebys Medical Discovery Institute seeks an administrative assistant to contribute to our dynamic team. Our mission is to discover treatments for a wide array of diseases, including Alzheimer's, cancer, drug addiction, and heart and kidney disease. This position supports our scientists by handling administrative tasks and ensuring smooth operations.

Responsibilities

  • Schedules and organizes complex activities such as meetings, travel, conferences, and departmental events for all members of the department.
  • Drafts written responses or replies by phone or email when necessary.
  • Supports the submission of grant applications.
  • Maintains the department's finances by assisting with check requests, travel reimbursement requests, and documenting purchasing credit card expenses and other related requests.
  • Sorts and distributes mail for the Center.
  • Supports the creation, editing, and development of documents as requested, including drafting correspondence, charts, tables, proofreading copy for spelling, grammar, and layout, and making appropriate changes.
  • Performs other administrative duties as assigned.

Requirements

  • A High School Diploma is required, with an Associate degree or equivalent education, training, and/or experience preferred.
  • One year of administrative experience is required, with previous experience in proposal development being a plus.
  • Strong analytical, time management, organizational, communication (both written and verbal), and interpersonal skills are essential.
  • The ability to exercise sound judgment, prioritize workload, work independently, and in a team environment, and be responsible, organized, and a problem solver are required.
  • A strong attention to detail is necessary, along with professional proficiency in Microsoft Office suite, particularly Microsoft 2016 or Office 365, with skills in Outlook, Word, Excel, and PowerPoint.
  • The capacity to learn department-specific software tools as needed is important.

Schedule

Onsite position in San Diego. Out-of-state applicants must disclose their willingness to relocate.
