About the role
Technology Navigators is seeking a highly organized and proactive Shared Services Administrative Assistant to support operations within a fast-paced semiconductor manufacturing environment. This role provides critical administrative and operational support across multiple departments, helping maintain efficient workflows, coordination, compliance, and communication within a high-volume technical workforce setting.
Responsibilities
- Provide administrative support across multiple operational and shared service functions
- Coordinate employee onboarding documentation, compliance records, and workforce tracking
- Aid with scheduling, reporting, meeting coordination, and internal communications
- Maintain accurate records, spreadsheets, presentations, and operational documentation
- Support payroll, timekeeping, and workforce coordination activities
- Aid with cross-functional project coordination and follow-up tasks
- Help manage high-volume administrative workflows in a fast-paced manufacturing environment
- Support leaders and operational teams with reporting and organizational needs
- Maintain confidentiality of sensitive employee and business information
- Identify opportunities to improve administrative processes and workflow efficiency
Requirements
- Bachelor’s degree in Business Administration, Management, or related field preferred (Equivalent professional experience may be considered)
- 4–7 years of experience in an administrative, operations, or shared services support role
- Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously
- Excellent written and verbal communication skills
- Proven ability to work independently and solve problems proactively
- Advanced proficiency in Microsoft Excel, including pivot tables and data organization
- Strong PowerPoint and general Microsoft Office skills
- High level of professionalism, discretion, and attention to detail
- Comfortable adapting to changing priorities and evolving operational needs
Qualifications
- Experience supporting manufacturing, semiconductor, engineering, or technical workforce environments
- Familiarity with workforce coordination, staffing operations, or shared services functions
- Exposure to continuous improvement methodologies such as Lean or Kaizen
