We are looking for an Accounts Receivable Specialist to support the financial operations of our team in Kalamazoo, Michigan. This position focuses on maintaining accurate customer payment records, resolving outstanding balances, and helping ensure timely revenue collection.
Responsibilities
- Manage customer receivable accounts by reviewing open balances, tracking payment activity, and following up on overdue invoices.
- Apply incoming payments accurately and reconcile remittances to customer accounts to keep records current and correct.
- Conduct commercial collections with strong attention to detail, working directly with clients to resolve past-due balances and payment issues.
- Prepare and issue billing documents while verifying that charges, terms, and account details are accurate.
- Investigate account discrepancies by partnering with internal teams and customers to clarify missing payments, short pays, or disputed amounts.
- Maintain organized documentation of collection efforts, payment status updates, and account communications for reporting purposes.
- Monitor aging reports and prioritize outreach activities to reduce delinquency and support steady cash flow.
- Assist with routine account reconciliation tasks and contribute to process improvements within accounts receivable operations.
Requirements
- Experience working in accounts receivable, billing, or a closely related accounting support role.
- Working knowledge of commercial collections practices and customer account follow-up procedures.
- Ability to process cash applications accurately and match payments to invoices with strong attention to detail.
- Familiarity with billing functions, account reconciliation, and receivables tracking.
- Strong written and verbal communication skills for interacting with customers and internal stakeholders.
- Proficiency with standard accounting systems and spreadsheet tools used for financial recordkeeping.
- Ability to manage multiple priorities, meet deadlines, and maintain accuracy in a fast-paced environment.
