Responsibilities
- Process accounts payable files and create vouchers for invoice payments according to established laws and regulations.
- Print accounts payable checks, match checks with appropriate invoices and purchase orders, and mail checks with remittance advice; maintain related voucher files.
- Prepare year-end 1099 tax forms and reports.
- Manage the college's investment accounts.
- Handle invoices qualifying for direct payment, verify budgeted funds availability, and assign the correct general ledger account.
- Verify invoices are taxed at the appropriate rate and calculate quarterly use sales tax payable; maintain files for reporting.
- Process student refunds in accordance with federal and state laws as verified and approved by authorizing departments.
- Ensure drop/add forms are processed correctly and inform proper personnel of any discrepancies for corrections.
- Perform checkwriting on a timely basis to meet deadlines, post totals to ledgers and journals, and maintain Accounts Payable files for auditing purposes.
- Ensure voided checks have proper backup documentation and research checks not clearing accounts within the appropriate timeframe.
- Participate in student registration and provide general public assistance.
- Assist with receptionist duties, including phones, cashiering, and mail service.
- Compile necessary documentation for the facilities department, such as energy reports and inventory reconciliation.
- Serve on college committees and assist with institutional effectiveness reports.
- Perform other duties as required.
Requirements
- A high school diploma and experience in entry-level accounting or bookkeeping.
- A bachelor's degree may be substituted for the required work experience.
