About the role
The Accounts Payable Specialist supports the company's accounts payable functions, focusing on invoice management, payment processing, account reconciliation, and routine reporting. This role is crucial for maintaining accurate financial records, optimizing cash flow, and building strong vendor relationships.
Responsibilities
- Invoice Management: Verify accuracy and completeness of vendor invoices and supporting documentation, ensure appropriate authorization and coding, match invoices with purchase orders and receiving documents, enter invoices into the accounting system for payment processing.
- Payment Processing: Schedule and process payments, including checks, electronic transfers, and ACH, monitor payment schedules to avoid late fees, address and resolve payment discrepancies and issues with vendors.
- Account Reconciliation: Ensure accounts are accurate and up to date by reconciling vendor statements, investigating and resolving outstanding balances or discrepancies, maintaining organized records of invoices, payments, and other accounts payable documentation.
- Reporting and Compliance: Support and coordinate month-end and year-end close activities related to accounts payable, assist with audit preparation by providing required documentation and explanations.
- Intercompany Collaboration: Facilitate clear and effective exchanges of information with sales and customer service teams to resolve issues and streamline processes.
- Problem Solving: Analyze financial data, identify issues, and provide constructive, clear, and concise solutions to customer issues and billing discrepancies.
Requirements
- 2+ Years of Progressive Experience in Accounts Payable with a Focus on Commercial Accounts
- Experience in High Volume, Multi-Entity Environment with Construction Experience Preferred
- Proficiency with ERP, AP Automation Tools, and Accounting Software
- Strong Microsoft Excel Skills Including Pivot Tables, VLOOKUPS, and Complex Formulas
- High Level of Organization and Reliability Ensuring Tasks Are Completed Accurately and Prior to Deadlines
- Strong Multi-Step Thinking Abilities Effectively Analyzing and Solving Complex Problems
- Time Management Skills Managing Time Efficiently, Prioritizing Tasks to Meet Deadlines and Maintain Productivity
- Effective Communication Skills Facilitating Clear and Effective Exchanges of Information

Qualifications
- High School Diploma Required; Bachelor’s Degree in Accounting, Finance, or Related Field Preferred
- Background Check and Drug Screen Required as a Condition of Employment
- Ability to Understand, Speak, and Write English
