Accounts Payable Specialist

The Accounts Payable Specialist reports directly to the Business Manager and helps ensure the department partners collaboratively with schools, families, and staff to enable equitable outcomes for all children.

Responsibilities

  • Process payments for approved invoices and contract payments accurately.
  • Record, update, and reconcile related financial information.
  • Provide training and support to district staff on accounting and procurement practices.
  • Ensure district compliance with established policies and regulatory guidelines.
  • Enter and process invoices in accordance with procurement and accounting practices to ensure timely payment of goods and services.
  • Communicate with department staff, vendors, and contractors regarding the status and payment of procured goods and services.
  • Reconcile procurement card (P-card) purchases and transactions to ensure appropriate documentation and timely payment.
  • Maintain financial information, files, spreadsheets, and records (e.g., purchase orders, invoices, shipment verification, travel expense reports) with attention to detail and accuracy.
  • Reconcile financial information (e.g., verify prices and extensions on invoices, match invoices with purchase orders) to maintain accurate account balances.
  • Conduct research and investigate discrepancies in financial information and/or documentation (e.g., purchase orders, invoices, P-cards).
  • Respond to inquiries from staff, administration, and vendors with timeliness and accuracy.
  • Provide support and training to department staff on financial systems and established district policies and procedures.
  • Participate in department meetings and in-service trainings/workshops as needed.
  • Perform any other duties as assigned.

Requirements

  • High school diploma or GED required.
  • Two (2) years of relevant experience, including exposure to an automated accounting system.

Skills

  • Language Skills: Reads and interprets general business and professional journals, technical procedures, or regulations. Writes reports, correspondence, and manuals. Effectively presents and responds to questions from managers and the public.
  • Mathematical Skills: Adds, subtracts, multiplies, and divides in all units of measure, using whole numbers, common fractions, and decimals. Computes rate, ratio, and percent and draws and interprets bar graphs.
  • Reasoning Ability: Solves practical problems and deals with a variety of concrete variables in situations where only limited standardization exists. Interprets a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Computer Skills: Proficient in Microsoft Office, Google Workspace, Infinite Visions/ERP Pro, and Google Suites.

Pay

Secretarial and Clerical Salary Schedule - Track G/Step 1: $25.89/hr
Salary Range: $49,967.70–$61,200.30
