Accounts Payable Specialist

Responsibilities

• Receive invoices directly from vendors and/or dealership locations and ensure proper coding and approval in the electronic accounts payable system.
• Review all payment requests for appropriate documentation and requisite approval.
• Ensure properly coded/approved invoices are entered into the accounting system.
• Maintain signed copies of IRS Form W‑9, vendor service agreements, and any other contracts on file.
• Prioritize invoices for payment to take advantage of discounts, avoid interest and/or penalties, and adhere to agreed‑upon payment terms.
• Correspond directly with vendors and internal stakeholders regarding payment status inquiries.
• Reconcile vendor statements to vendor history in the accounting system and work directly with vendors to resolve discrepancies, including obtaining missing invoices.
• Adhere to company policies and communicate any compliance deviations and internal control weaknesses to management in a timely manner.
• Assist the Accounts Payable Manager with payment batches, annual 1099 filings, and other duties as assigned.

Experience, Education, and Special Requirements

• AA, BA, or BS in accounting with a minimum of two years of related work experience (preferably in the truck or automotive industries).
• Experience with electronic accounts payable software is a plus.
• Dealer Management System (DMS) experience is extremely desirable but not required.
• Strong organizational skills with attention to detail, problem‑solving abilities, and excellent interpersonal, verbal, and written communication skills.
• Intermediate expertise with Microsoft Excel and Word.
