Responsibilities
- Process vendor invoices, expense documentation, and related financial records with a high level of accuracy and timeliness.
- Review billing details, assign appropriate expense codes, and confirm supporting documents and approvals are complete before entry.
- MATCH invoices with packing slips or other backup materials and resolve discrepancies by coordinating with vendors or internal stakeholders.
- Enter accounts payable transactions into the accounting system and maintain current, well-organized records for open and paid items.
- Prepare invoices and supporting documentation for payment cycles, including gathering materials needed for check runs.
- Monitor vendor statements, identify missing or incorrect items, and update accounting records to reflect corrections as needed.
- Request and maintain required vendor documentation, including W-9 forms, to support accurate setup and compliance.
- Assist with account reconciliations and help ensure financial transactions are classified properly within the general ledger.
- Maintain filing systems and provide documentation for audits, reporting needs, special projects, or departmental requests.
- SUPPORT the accounting team with administrative tasks, vendor follow-up, and other assigned duties, which may include overtime or occasional weekend work.
Requirements
- A high school diploma or equivalent required.
- At least two years of experience supporting an accounting or accounts payable function.
- Working knowledge of invoice processing, invoice coding, check runs, and general accounts payable procedures.
- Proficiency with Microsoft Office, especially Excel, along with experience using accounting software such as QuickBooks.
- Strong attention to detail with the ability to perform accurate data entry and review financial information carefully.
- Solid organizational, analytical, and problem-solving skills with the ability to manage multiple priorities.
- EFFECTIVE written and verbal communication skills and the ability to work both independently and collaboratively.
