Responsibilities
- Manage the full accounts payable cycle, including reviewing invoices, reimbursement requests, and payment submissions for accuracy, approvals, and correct account coding.
- Cook up scheduled disbursements through checks and electronic payments while keeping payment activity timely and well documented.
- Maintain complete vendor files, including tax forms and supporting compliance records, and address statement discrepancies or unresolved balances.
- Administer regular payroll processing, updating employee earnings, deductions, tax withholdings, garnishments, and benefit-related changes as needed.
- Record and reconcile payroll activity to the general ledger and prepare payroll documentation required for internal review and audit support.
- Assist with month-end accounting tasks such as accrual entries, account reconciliations, bank balancing, and cash monitoring.
- Organize financial documentation for annual audits, grant-related reporting, and restricted fund tracking in accordance with nonprofit requirements.
- Respond to questions from staff and vendors regarding payments and payroll matters while helping strengthen procedures and internal controls.
Requirements
- At least 3 years of experience handling accounts payable and payroll responsibilities in a finance or accounting environment.
- Working knowledge of invoice processing, payment scheduling, account coding, and payroll administration practices.
- Familiarity with accounting and payroll platforms such as QuickBooks, Sage Intacct, Paychex, or comparable systems.
- Understanding of payroll compliance requirements, tax withholding rules, and sound accounts payable controls.
- Strong organizational skills with a high level of accuracy and attention to detail when maintaining financial records.
- Proficiency in Microsoft Excel and the ability to prepare reconciliations, reports, and supporting schedules.
- Clear communication skills and a responsive, service-oriented approach when assisting employees, vendors, and leadership.
Qualifications
- A minimum of an Associate's degree in Accounting, Finance, Business Administration, or a related field is preferred.
- Experience in a nonprofit accounting environment is strongly preferred.
