About the role
The Accounts Payable Clerk is a detail-oriented, dependable team member who assists the Finance Department with entry-level accounts payable functions. Responsibilities include processing invoices, maintaining vendor records, and ensuring timely and accurate payment of church expenses while maintaining confidentiality and supporting the mission and values of Bayview Baptist Church.
Responsibilities
- Receive, review, and process vendor invoices for payment.
- Verify invoices for accuracy, proper approvals, and appropriate account coding.
- Enter accounts payable transactions into the accounting system.
- Prepare checks and electronic payments in accordance with church policies.
- Maintain accurate vendor files, including W-9 forms and vendor setup documentation.
- Reconcile vendor statements and resolve invoice discrepancies.
- Respond to vendor inquiries in a professional and courteous manner.
- File and maintain accounts payable records and support documentation.
- Assist with monthly closing procedures related to accounts payable.
- Ensure compliance with church financial policies and internal controls.
- Maintain confidentiality of all financial and personnel information.
- Perform other administrative and accounting duties as assigned.
Requirements
- Minimum of one year of accounting experience.
- Solid understanding of accounting principles and procedures.
- Good communication skills to interact with church staff, congregants, vendors, and the community.
- Strong attention to detail and organizational skills.
- Respect for worship flow and cultural sensitivity to church dynamics.
- High school diploma or equivalent; associate degree or coursework in accounting preferred.
- Proficiency with accounting software (e.g., QuickBooks) and Microsoft Office suites.
- Physical capacity to perform labor-intensive tasks, including walking for extended periods and lifting at least 50 pounds.
- Capability to meet schedules and timelines.
- Understanding of and adherence to the scope of authority.
- Preparedness to work in environments with potential exposure to dust, chemicals, and temperature variations.
- Proficiency in following both written and verbal directions.
- Completion of all required employee training within the first 30 days of employment, including:
- Mandated Reporter
- First Aid
- Slips, Trips, and Falls
- Harassment Training
- Drug-Free Workplace
- Back Injury Prevention
- Workplace Violence Prevention
- Required to complete a Live Scan within 48 hours of receiving a conditional offer of employment.
Pay
$18.00 – $24.00 per hour
Schedule
- Part-time, 20 hours per week
- Monday through Friday, 8:30 AM to 12:30 PM
