Accounting Specialist
Responsibilities
- Process purchase orders in QuickBooks Desktop Enterprise and coordinate order documentation with third-party logistics partners.
- Prepare and send customer invoices, including shipment and tracking details, while maintaining accurate billing records.
- Support accounts receivable activities by monitoring payments, applying checks and credit card transactions, and following standard payment terms.
- Auxiliary accounts payable tasks and general accounting support as needed across daily operations.
- Review pick tickets, packing documentation, and incoming shipment records to confirm order status and resolve discrepancies.
- Perform inventory reconciliation activities, including periodic reviews with external logistics providers to identify and investigate variances.
- Communicate directly with customers regarding orders, backorders, shipment updates, and related documentation requests.
- Maintain organized paper and scanned records for invoices, packing slips, and supporting files, including document cleanup and retention support.
Requirements
- Experience in accounting support with a strong emphasis on accounts receivable, billing, and reconciliations.
- Working knowledge of accounts payable and broader accounting functions in a fast-paced business setting.
- Proficiency with QuickBooks Desktop Enterprise or QuickBooks Online.
- Strong Excel skills for reporting, tracking, and data review.
- Ability to investigate inventory differences and resolve record inconsistencies using sound analytical judgment.
- Comfortable coordinating with customers and third-party service providers regarding orders, shipments, and payment activity.
- Strong attention to detail with the ability to manage both digital and paper-based records accurately.
