Responsibilities
- Cook up the preparation of draft and finalized client invoices by following attorney direction and client-specific billing requirements.
- Update billing entries and narrative details to ensure invoices are accurate, clear, and aligned with matter activity.
- Record incoming client payments and apply receipts correctly to the appropriate files and balances.
- Track receivable activity, follow account status, and help maintain timely collections visibility.
- Review and enter vendor bills and payment requests with correct coding and proper approval workflows.
- Support the release of check and electronic payments in accordance with established financial controls.
- Compare vendor statements against internal records, investigate variances, and help resolve outstanding issues.
- Aid in employee and attorney reimbursement processing, including review for completeness and policy alignment.
- Provide support for trust and operating account activity, including deposits, disbursements, reconciliations, and ledger upkeep in compliance with applicable rules.
- Contribute to month-end and year-end close tasks, general ledger updates, recurring reporting, audit support, and organized record retention.
Requirements
- At least 3 years of experience in accounting support, with law firm or legal billing experience strongly preferred.
- Familiarity with legal trust accounting practices and billing compliance expectations within a law firm environment.
- Experience using legal accounting or billing platforms such as Aderant, ProLaw, Elite, Tabs3, or comparable systems.
- Strong Microsoft Excel capability, including data entry, spreadsheet maintenance, and use of formulas.
- Proven ability to manage sensitive financial information with a high level of discretion and professionalism.
- Clear communication skills and the ability to work effectively with attorneys, internal staff, vendors, and clients.
- Strong organizational skills with the ability to prioritize multiple deadlines while maintaining accuracy.
Qualifications
- Qualified candidates should have a bachelor's degree in accounting, finance, or a related field.
- Proficiency in legal accounting software is essential.
- Knowledge of legal industry standards and regulations is beneficial.
