About the role

The Accounting Coordinator plays a critical role in supporting the financial operations of Beauport Hospitality Group's properties. This position requires strong attention to detail, proficiency in accounting software, and the ability to manage multiple tasks efficiently.

Responsibilities

  • Manage day-to-day bookkeeping tasks within accounting software platforms (M3 Accounting Core, QuickBooks)
  • Process accounts payable (AP) and accounts receivable (AR)
  • Reconcile daily deposits, credit card transactions, and bank accounts
  • Work closely with Hospitality Operations, Events, and Restaurant management teams
  • Avoid client deposits, payments, and daily revenue inaccuracies
  • Complete month-end close processes, journal entries, and account reconciliations
  • Handle client and guest billing inquiries and credit card disputes
  • Maintain an organized and secure system for all financial files and records
  • Administer bi-weekly payroll processing using designated payroll system
  • Maintain the time clock system, including adding/removing employees, monitoring rates, and ensuring data accuracy
  • Serve as a point of contact for payroll-related questions
  • Resolve payroll-related issues with the payroll system provider
  • Process manual checks as needed for terminations or adjustments
  • Uphold strict confidentiality with all payrolls, bookkeeping, and employee information
  • Support for a variety of accounting projects and procedures as directed by the Controller

Requirements

  • Proficiency in QuickBooks
  • Experience with other hospitality accounting software, such as M3 Accounting Core, and additional Accounting software is highly preferred
  • Minimum of 2-3 years of experience in an accounting, bookkeeping, or related role
  • Strong understanding of accounting principles, bookkeeping, and payroll processing
  • High proficiency in Microsoft Office Suite, particularly Excel
  • Familiarity with Point of Sale (POS) and Event Management systems
  • Exceptional attention to detail and accuracy
  • Proven ability to handle sensitive information with the utmost confidentiality
  • Excellent organizational and time-management skills, with the ability to prioritize tasks in a fast-paced environment
  • Strong verbal and written communication skills
  • Experience in the hospitality, restaurant, or event industry is a plus
  • Experience with payroll systems (e.g., Paylocity) is preferred
  • Ability to work a flexible schedule, which may include weekends based on business needs
