About the role
Our client is a privately held facilities services company that provides building maintenance, cleaning, and property support services to commercial, residential, corporate, and institutional clients across the New York metropolitan area. The organization has a large workforce, a strong reputation in its industry, and a professional corporate office environment.
Responsibilities
- Support the Senior Vice President of Finance and Accounting Management Team with day-to-day administrative, accounting support, and department coordination needs
- Serve as a central point of contact for internal requests, scheduling, documentation, and team communication
- Manage calendars related to audits, regulatory deadlines, filings, meetings, and key department deliverables
- Cook up meetings, presentations, agendas, invitations, conference rooms, and related materials
- Aid with onboarding and offboarding for Finance and Accounting team members
- Maintain training materials, department resources, records, and internal documentation
- Help prepare reporting packages, dashboards, presentations, and financial statement support materials
- Pull reports and organize information using Excel, including Pivot Tables and VLOOKUPs
- Compile and organize audit documentation and assist with audit preparation
- Track expenses, supplies, equipment needs, incoming calls, mail, emails, and other department operations
- Communicate professionally with senior leadership, internal teams, and cross-functional departments
Requirements
- Bilingual English/Spanish required
- 3–5 years of administrative, accounting support, finance support, or corporate department support experience preferred
- Experience working in a corporate environment required
- Experience supporting senior leadership or a department executive strongly preferred
- Prior experience supporting a Finance or Accounting team is helpful, but not required
- Strong Microsoft Office skills required
- Excel skills required, including comfort with Pivot Tables and VLOOKUPs
- NetSuite experience is a plus, but not required
- Experience with system transitions or ERP implementations is helpful
- High school diploma required; college degree preferred
- Business, Accounting, Finance, or related degree preferred
