Accounting Assistant
About the role
We're looking for an Accounting Assistant who can join our team and help us manage vendor invoices, assist with procurement processes, and maintain accurate project accounting files. Your contributions will be vital in ensuring the smooth operation of our financial systems.
Responsibilities
- Enter and process vendor invoices accurately and timely within the accounting system.
- Verify invoice details, coding, approvals, and supporting documentation prior to processing.
- Absorb and resolve invoice discrepancies.
- Create and submit purchase requisitions in accordance with company policies and procedures.
- Maintain requisition status and coordinate with procurement teams to ensure timely processing.
- Complete work confirmations for services performed.
- Ensure work confirmations accurately match contract terms, purchase orders, and vendor documentation.
- Reconcile Procurement Card (PCard) transactions to receipts and supporting documentation.
- Review transactions for policy compliance and proper accounting classification.
- Follow up with staff to obtain missing receipts and resolve discrepancies.
- Aid project accountants with the preparation and organization of client invoice documentation.
- Perform other accounting and administrative duties as assigned.
Requirements
- Associate degree in Accounting, or equivalent combination of education and experience.
- High School diploma or equivalent.
- Strong attention to detail.
- Ability to manage multiple projects independently.
