About the role
The Account Coordinator plays a critical support role within the client services team, ensuring the smooth execution of projects from initiation through completion. You will work closely with internal teams, account managers, project managers and clients to maintain project organization, timelines, and timely communication.
Responsibilities
- Create and manage project dashboards consolidating key links, client and team information, deliverables, and milestones
- Create and manage project folders on shared drives to ensure organized file structures and consistent version control
- Translate project timelines into Workamajig, including task creation, scheduling, and deadline alignment ensuring clarity and accountability across departments
- Proactively update tasks in Workamajig and follow up with stakeholders for updates or adjustments
- Assign JIRA tickets to web developers, ensuring each ticket has a corresponding Workamajig task and that due dates and details are aligned across platforms
- Support Account Management team with monthly billing and revenue forecasting
- Support leadership team with administration tasks such as scanning mail and depositing checks at the bank
- Work with account managers and project managers to track progress and update stakeholders regularly
- Perform content entry for new website builds, collaborating with the content and UX teams to ensure accuracy and proper formatting, and assist in Development QA by reviewing functionality, testing user experiences, and logging bugs or inconsistencies
- Attend and take detailed notes during internal and external calls, crafting meeting agendas, clearly documenting decisions, action items, and next steps, sharing notes with account managers for distribution, and occasionally leading client meetings and hosting virtual calls
Qualifications
- At least one year of experience in a similar support or coordinator role, preferably within a creative, digital, or advertising agency
- Strong organizational skills with impeccable attention to detail and the ability to manage multiple priorities at once
- Excellent written and verbal communication skills
- A proactive, solution-oriented mindset with a willingness to jump in wherever needed
- Basic understanding of web development and creative agency workflows is a plus
Nice to have
- Experience / familiarity with tools such as Workamajig, JIRA, Microsoft Office/Google Workspace, Slack, and Figma
- Knowledge of QA best practices and content management systems (CMS)
- Comfort with Agile/Scrum methodologies and cross-functional team structures
