About the role

The Account Coordinator is an organized, energetic, and detail-obsessed team player who keeps experiential programs running with precision and heart. As the operational backbone of the Account team, you support Account Managers and Account Directors across every phase of a project, from early planning through post-event closeout. You collaborate most closely with Account Managers, Account Directors, Creative, Production, Strategy, and Operations to build meaningful client relationships and execute flawless activations. This role is a launchpad for someone who thrives in fast-moving environments, takes pride in delivering polished client-facing work, and brings a proactive, can-do spirit to every challenge.

Requirements

  • 2+ years of experience in account coordination, project coordination, or client services within an experiential marketing, event production, or integrated marketing agency (internships and adjacent experience considered for exceptional candidates).
  • Knowledge of consumer brand categories such as gaming, entertainment, technology, or automotive is a plus.
  • Genuine passion for live events, brand experiences, and storytelling through experiential activations.
  • Proficiency with Google Workspace (including Google Slides and Spreadsheets) and project management tools such as Asana.
  • Working knowledge of multiple video conferencing platforms including Google Meet, Microsoft Teams, and Zoom.
  • Familiarity with CRM platforms, preferably Salesforce.
  • Strong written and verbal communication skills with exceptional attention to detail, catching typos, inconsistencies, and missing action items.
  • Ability to manage multiple deliverables simultaneously, even when priorities shift quickly.
  • Comfort working collaboratively in a remote environment while staying deeply connected to your teams.
  • Passion for curating a productive and fun project work culture.
  • Ability to travel domestically and internationally up to 20% of the time for activations and client events.

Responsibilities

  • Support Account Managers and Account Directors in day-to-day client communications, ensuring timely and accurate follow-through on all deliverables and action items.
  • Coordinate internal and client-facing kickoff meetings, status calls, and working sessions.
  • Prepare agendas, take detailed notes, and distribute clear recaps and next steps within 24 hours.
  • Build and nurture relationships with clients, internal teams across Creative, Production, Strategy, and Operations, and agency partners, representing MAS with professionalism and enthusiasm at every touchpoint.
  • Bring a proactive, solutions-first mindset and contribute to a culture of bold creativity, relentless execution, and genuine care for the work and each other.
  • Assist in the development, review, and formatting of client-facing proposals, presentations, program recaps, and POV documents, ensuring all materials reflect MAS standards.
  • Maintain and update project timelines, status trackers, and budget trackers across multiple programs, proactively flagging potential risks or delays to senior team members.
  • Enter and maintain accurate opportunity and project data within Salesforce to keep the CRM current and actionable.
  • Support the development of Statements of Work (SOWs) and assist in tracking contracts, purchase orders, and invoices through the accounts receivable process.
  • Research and compile competitive insights, venue options, and industry trends to support strategic recommendations and form a comprehensive understanding of clients’ business challenges.
  • Assist in identifying event requirements across event management, registration systems, event technology, production, and creative services.
  • Support on-site event execution and activations as needed, which may include travel, extended hours, and hands-on, real-time problem-solving.

Skills

  • Precise, polished work delivery across every client touchpoint, catching errors before they become problems.
  • Clear and professional written and verbal communication.
  • Confident production of client-ready documents.
  • Sensitive client and project information handling with absolute discretion.
  • Smooth adaptation to shifting priorities and short-notice plan changes.
  • Early risk identification and needs anticipation without waiting to be told.
  • Effective workload prioritization across multiple clients and simultaneous events.
  • Creative and resourceful problem-solving that brings solutions, not just questions.
  • Strong relationship building across the agency and with external partners.
  • Energizing collaboration that supports the teams you work with.
