Summary of Duties

Maintains control accounts for appropriated and/or non-appropriated funds involving a relatively limited number of accounts and range of kinds of disbursements. May maintain one or more major accounting groupings for a major department. May supervise and participate in the maintenance of subsidiary ledgers. Performs other duties as required.

Minimum Qualification Requirements

General Experience

One-half (1/2) year of work experience which demonstrated knowledge of arithmetic and spelling and possession of the abilities to:

  • Follow oral and written directions
  • Write simply and directly
  • Observe differences in words and numbers quickly and accurately

Specialized Experience

Two (2) years of work experience which involved:

  • Posting to accounting records and systematizing fiscal information (e.g., computing, classifying, and recording numerical data to keep financial accounting records complete)
  • Deriving reports from financial accounting records
  • Knowledge of standard accounting classification and terminology pertinent to accounts maintenance operations
  • Office practices and procedures relating to the processing and recording of transactions and accounting information
  • Reconciling accounts (e.g., checking for errors, balancing, and verifying original source documents)

Non-Qualifying Experience

The following types of experience do not qualify as specialized experience:

  • Teller, cashier, inventory clerk, stock clerk, or supply clerk work primarily concerned with posting non-fiscal data or checking accuracy of computations
  • Work that does not involve or require fiscal record-keeping knowledge

Supervisory Aptitude

Some Account Clerk III positions require supervisory aptitude, demonstrated by:

  • Successful completion of regular or special assignments involving some supervisory responsibilities or aspects
  • Serving as a group or team leader or in similar roles where supervisory capabilities can be demonstrated
  • Completion of training courses in supervision accompanied by application of supervisory skills in work assignments
  • Favorable appraisals by a supervisor indicating possession of supervisory potential

Substitutions Allowed

Education for Experience

  • Graduation from high school or equivalent with courses in basic English and arithmetic may substitute for six (6) months of General Experience.
  • An associate's degree or equivalent in accounting from an accredited business school, community college, or comparable institution may substitute for one (1) year of specialized experience (up to a maximum of two (2) years).
  • Completion of one (1) school year of an accounting, business, or related curriculum (with at least three (3) credits per semester of accounting courses) may substitute for one (1) year of specialized experience.

University Education

  • A baccalaureate degree in accounting will satisfy all experience requirements.
  • Fifteen (15) semester hours of relevant training may substitute for six (6) months of experience (up to a maximum of three and one-half (3-1/2) years), provided the training included at least three (3) credits per semester of accounting courses such as:
    • Accounting theory and methods used to record and report financial information
    • Analysis of methods for valuing assets, liabilities, and ownership
