About the role

The Accommodations Specialist supports the day-to-day administration and operations of academic, housing, dining, and other disability-related accommodations for students served by the Accessibility Resource Center (ARC). This position provides support for the accommodations processes, manages a designated caseload of students (including the graduate social work program), maintains confidential student records, and assists with data reporting and assessment. The role is responsible for organizing and triaging all incoming general office communications and managing and supporting outgoing ARC communications.

Responsibilities

  • Office Support (70%):
    • Coordinates record and file systems for ARC (including WorkDay, Maxient, S Drive, Google Drive, Accommodate, and all other platforms utilized) and develops end-of-year reporting and assessment.
    • Coordinates the implementation of approved note-taking accommodations including recruiting, onboarding, monitoring student note-takers, and approving timesheets.
    • Handles clinical/administrative requests for documentation and management of the office file system. Constructs relevant templates and procedural flows within the online management system.
    • Ensures compliance with local, state, and federal guidelines (e.g., FERPA) impacting the storage and retrieval of student data.
    • Assists in developing, updating, and providing training and materials for new user orientation and refresher training.
    • Organizes and maintains records according to Smith protocols.
    • Coordinates incoming office communications including email, phone, and general inquiries, ensuring timely routing and response.
    • Assists with reception coverage during peak periods and staff absences.
  • Intakes and Accommodations Support (25%):
    • Engages in the interactive process to determine accommodations, including communication and meeting with students.
    • Serves as the primary operational contact for accommodation implementation for assigned student populations, including students in the Master of Social Work program.
    • Attends regular meetings and serves on other departmental and all-campus committees, as needed.
  • Other Duties (5%):
    • In cooperation with the Director of Accessibility, develops and operationalizes procedures for data and statistical collection and reporting.
    • Completes specialized projects as defined by the Director of Accessibility and/or Smith College.

Requirements

  • Bachelor’s Degree and two years of related experience or the equivalent in a related field (e.g., disability services, social work, education, etc.).
  • Experience working with individuals from diverse backgrounds.
  • Prior experience working in disability services in higher education.
  • Knowledge of FERPA, ADA/504, disability-related laws, and general compliance requirements.
  • Understanding of accommodations and the interactive process.
  • Experience working with the Accommodate system or a disability-related management system.

Preferred Qualifications

  • Master’s degree in a related field (e.g., disability services in higher education, social work, etc.).

Pay

Pay for this role is typically between $28.55 - $34.89 hourly, covering the middle half of market compensation. Actual compensation will vary based on individual qualifications.
