About the role

The Event Project Support Specialist role is much more than a traditional administrative support position. Our Strategic Meetings & Events (SMNE) team manages complex international healthcare events involving multiple stakeholders, including healthcare professionals, clients, suppliers, compliance teams, finance teams, and internal teams across different countries and time zones. This role requires someone who is highly organized, proactive, flexible, and eager to learn. The successful candidate must be comfortable working in a fast-paced environment where priorities can shift quickly. Initiative is key—we need someone who can work independently, identify what needs to be done, and take ownership of tasks without waiting for detailed instructions.

This position is home-based in collaboration with a global team at IQVIA, clients, and healthcare professionals.

Responsibilities

  • Interact and develop relationships with clients, suppliers, and IQVIA stakeholders to support project deliverables.
  • Support financial reconciliation of deliverables, including providing paperwork and invoices for project expenses.
  • Work with the Event Project Management Team to review and analyze reports and data.
  • Support project timelines to ensure deadlines are met and project plans are updated.
  • Maintain internal databases and trackers in accordance with project delivery SOPs.
  • Manage and set up all project documentation, files, and templates, including ongoing audits of existing documents.
  • Support travel approvals to ensure attendee requests comply with compliance requirements.
  • Occasionally support onsite event delivery, including managing attendees, their transport, accommodation, and associated event materials.
  • Support the onboarding and training of new hires into the Event Management Team.

This position will require occasional global travel to support the onsite delivery of live events.

Requirements

  • Bachelor's Degree in any discipline (Hotel management preferred).
  • At least 2 years of proven experience in administrative support, project coordination, or operational support roles, preferably in hotel management, hospitality, or travel agency environments.
  • Candidates from all industries are welcome; prior healthcare or life sciences industry experience is preferred.
  • Proficient in MS Office applications.
  • Strong attention to detail, especially when working with financial data, reports, compliance requirements, and event logistics.
  • Ability to manage multiple tasks and priorities simultaneously.
  • Adaptability and a positive response to changing business needs.
  • Ownership and accountability for work.
  • Confidence in communicating with internal stakeholders, clients, and suppliers.
  • Growth mindset and genuine interest in developing within event and project management.
