About the role

The Workplace & Recruiting Operations Specialist plays a pivotal role in supporting the People & Talent team at Rillet. This role is highly collaborative, requiring strong organizational skills and the ability to manage multiple projects simultaneously.

Responsibilities

  • Own the day-to-day experience of our NYC office, including candidate visits, new-hire first days, team lunches, events, supplies, and the details that make the workplace organized, welcoming, and high-energy.
  • Run core recruiting operations, including interview scheduling, candidate communication, job postings, ATS workflows, funnel hygiene, and coordination across recruiters and hiring managers.
  • Drive onboarding and offboarding from start to finish, partnering with People Operations and IT to ensure every detail is handled accurately and on time.
  • Support essential People Operations work, including I-9s, employment verifications, HRIS updates, leave administration, compliance tasks, and time-sensitive employee requests.
  • Turn repetitive or unclear work into scalable systems through stronger documentation, practical AI automations, templates, workflows, and integrations across the People and Talent stack.

Requirements

  • Three to five years of experience in recruiting operations, people operations, business operations, workplace operations, office management, or a similarly operational role.
  • Highly organized and capable of managing multiple priorities with speed, accuracy, and strong attention to detail.
  • Takes ownership, acts without waiting for perfect instructions, and consistently closes the loop.
  • Comfortable with ambiguity and skilled at turning unclear problems into practical next steps.
  • Communicates clearly, keeps stakeholders informed, and documents processes so others can move faster.
  • Resourceful, curious, and excited to grow into broader responsibility as Rillet scales.
  • Experience with Ashby or another modern ATS is preferred.
  • Experience with Rippling, Justworks, AI-powered automation, or an early-stage startup is a plus.

Pay

The starting base salary for this role in New York is between $100,000-$125,000 + target equity + benefits. Our salary ranges are based on competitive market rates for our size, stage, and industry, with salary being one component of our comprehensive compensation package.

Schedule

This is a highly in-person role. You must be within commuting distance of our NYC office or willing to relocate. You will be expected in the office Tuesday through Thursday and should be excited to work in person four to five days most weeks.
