Why We're Looking For You
We're looking for a Workplace Experience Manager to lead the day-to-day operations, employee experience, and culture of our New York hub. This role is equal parts hospitality leader, operations manager, event producer, problem solver, and community builder. You'll be the primary Workplace representative in New York, owning the employee experience from the moment someone walks through the door to the events, programs, and spaces that make our office a place people genuinely want to be. This role is ideal for someone who thrives on autonomy, enjoys making decisions, loves bringing ideas to life, and can balance strategic thinking with rolling up their sleeves to execute. You'll work closely with teams across the company while serving as a trusted partner to employees, leaders, vendors, and visitors alike.
What You'll Do
Own the New York Workplace Experience
Serve as the primary Workplace lead for our New York hub, ensuring the office operates smoothly, efficiently, and with a high level of hospitality.
Create an environment that is welcoming, functional, and reflective of Retool's culture.
Make thoughtful decisions that improve the employee experience while balancing budget, operational needs, and business priorities.
Act as the local expert on the office, identifying opportunities for improvement and proactively solving problems before they arise.
Lead Office Operations
Manage day-to-day office operations including vendor relationships, facilities coordination, workplace technology, supplies, shipping and receiving, food programs, security processes, and office maintenance.
Own workplace budgets, expense tracking, invoice management, and vendor spend for the New York hub.
Partner closely with building management, service providers, and internal teams to ensure a seamless workplace experience.
Maintain workplace standards while continuously looking for ways to improve efficiency and employee satisfaction.
Create Meaningful Employee Experiences
Design, plan, and execute events ranging from team gatherings and happy hours and partner with our Head of Workplace for company-wide programs, customer events, launches, celebrations, and offsites.
Bring creativity and fresh ideas to workplace programming while ensuring events are executed flawlessly.
Partner with leaders across the business to support team events and strategic initiatives.
Help foster a strong sense of community and connection within the New York office.
Support Employee Lifecycle Programs
Partner with Recruiting, IT, People Operations, and Workplace teams to deliver exceptional onboarding experiences.
Ensure new hires feel welcomed, informed, and connected from day one.
Support employee engagement initiatives, workplace communications, and company-wide programs.
Partner Globally
Collaborate closely with the Workplace Experience leadership team to help shape workplace strategy and programs across all hubs.
Provide guidance and support to our London Workplace Coordinator, helping ensure consistency in workplace standards, processes, and employee experience across locations.
Share best practices, identify opportunities for improvement, and contribute to the evolution of Retool's global workplace program.
Be a Culture Carrier
Serve as a visible and trusted presence in the office.
Create strong relationships across teams and functions.
Build moments of delight, celebrate wins, and help bring Retool's culture to life in meaningful ways.
Balance being highly supportive with maintaining operational excellence and accountability.
Partner with IT to Deliver a Best-in-Class Workplace Technology Experience
Serve as the primary Workplace-IT liaison for the New York hub, helping bridge the gap between employees, Workplace, and IT teams.
Ensure workstations, meeting spaces, and workplace technology are operational, reliable, and ready to support a high-performing workforce.
Coordinate desk setups, local hardware logistics, and peripheral inventory management while partnering with IT on equipment provisioning and lifecycle processes.
Support Zoom Rooms, conference room AV systems, and other workplace technologies, troubleshooting basic issues and escalating complex problems to the appropriate IT partners.
Coordinate with local vendors and service providers to support technology-related projects and issue resolution, including low-voltage cabling, conference room technology, infrastructure maintenance, and hardware replacement initiatives directed by the IT team.
Facilitate vendor access, oversee local execution of technical work, and ensure projects are completed efficiently and to established standards.
Aid in onboarding and offboarding activities, ensuring smooth employee transitions through effective workspace, equipment, and asset coordination.
Identify opportunities to improve workplace technology experiences and operational efficiency, partnering with IT to implement scalable solutions.
