Workplace Experience Coordinator
About the role
The Client is seeking two energetic, creative, and highly organized Workplace Experience Coordinators to help cultivate an engaging, connected, and productive workplace environment. These individuals will serve as key members of the Employee & Workplace Experience team, supporting daily office operations, employee engagement initiatives, internal communications, event planning, and vendor management.
Responsibilities
- Coordinate day-to-day office operations and ensure an exceptional workplace experience for employees and guests.
- Support office readiness by monitoring workplace standards, amenities, conference rooms, and common areas.
- Aid in onboarding logistics, workspace setup, and employee transitions.
- Partner with facilities, security, and leadership teams to address workplace needs and operational requests.
- Track and manage office supplies, employee resources, and workplace inventory.
- Plan, coordinate, and execute employee events, recognition programs, volunteer activities, and workplace initiatives.
- Assist in developing creative engagement opportunities that support company culture and employee satisfaction.
- Cover logistics for meetings, town halls, leadership visits, celebrations, and special events.
- Manage event calendars, registrations, communications, catering, and vendor support.
- Gather feedback and measure participation to continuously improve employee programs.
- Draft and distribute employee communications related to workplace updates, events, announcements, and engagement initiatives.
- Develop creative content for email campaigns, digital signage, intranet postings, and office communications.
- Ensure communications are timely, accurate, and aligned with the brand and culture.
- Support communication strategies that enhance employee awareness and engagement.
- Serve as a point of contact for workplace-related vendors and service providers.
- Coordinate scheduling, deliveries, event services, and vendor activities.
- Assist with invoice processing, budget tracking, and contract administration as needed.
- Build strong relationships with external partners to ensure high-quality service delivery.
- Act as a workplace ambassador by providing exceptional customer service to employees, visitors, and business partners.
- Support employee wellness, culture, and community initiatives.
- Identify opportunities to improve workplace processes and employee experiences.
- Respond to employee inquiries and workplace-related requests in a timely and professional manner.
Qualifications
- Bachelor's degree or equivalent professional experience.
- 2+ years of experience in office management, workplace experience, hospitality, event coordination, employee engagement, administrative support, or a related field.
- Strong organizational and project management skills.
- Excellent written and verbal communication abilities.
- Proficiency in Microsoft Office Suite (Outlook, Teams, Word, Excel, PowerPoint).
- Ability to manage multiple priorities and deadlines in a fast-paced environment.
- Strong customer service mindset with exceptional attention to detail.
Preferred Experience
- Experience supporting employee engagement or workplace culture initiatives.
- Experience coordinating internal events and programs.
- Familiarity with vendor management and budget tracking.
- Experience with intranet, employee communication platforms, or event management tools.

This is a Permanent position based out of Charlotte, NC.
Pay And Benefits
The pay range for this position is $50000.00 - $60000.00/yr.
