Workplace Experience Assistant

As a Workplace Experience Assistant, you will support the day-to-day delivery of workplace and front desk services within an assigned office, helping maintain a welcoming, organized, and service-oriented environment.
Responsibilities
- Greet and escort visitors, answer phones, and support visitor logs, badges, mail, and packages.
- Reset and restock meeting rooms; submit routine maintenance tickets and follow up on basic service needs.
- Complete routine logs, trackers, checklists, bulletin/calendar updates, and issue reports for review.
- Update and publish approved digital signage content and post approved updates to MyZS and Conversations pages.
- Support fire and safety duties with guidance.
- Provide back-up support as needed.
- Complete daily office rounds, including rooms, pantry, copy areas, wellness supplies, signage, storage, and common spaces.
- Support event setup, catering receipt, signage, materials, clean-up, and room reset.
- Support SAP invoices, Corp AMEX receipt collection, and other office finance activities under guidance.
- Execute routine communication requests using established templates and processes.
- Partner with IBG and other office teams to execute events.
Requirements
- High school diploma required; post-secondary education or Associate’s/Bachelor’s degree preferred.
- One to three years of relevant workplace experience, front desk, administrative support, hospitality, facilities, or professional services experience preferred.
- Computer fluency with Microsoft Office (Word, PowerPoint, Excel, Outlook); SAP and Concur familiarity desirable.
- Strong oral and written communication skills with a client-first, service-oriented approach.
- Professional appearance and demeanor with the ability to exercise good judgment and discretion.
- Attention to detail, dependability, punctuality, and ability to complete recurring tasks accurately.
- Proactive self-starter with the ability to manage routine tasks, follow standard procedures, and meet deadlines.
- Comfort working both independently and as part of a team in a busy office environment.
- Collaborative spirit, problem-solving approach, and willingness to use available resources and tools to create efficiencies.
- Fluency in English.
- Client-first mentality.
Schedule
This is an in-person role supporting office operations Monday through Thursday, and half-day on Friday.

Travel is a requirement at ZS for client-facing roles; business needs of your project and client are the priority. While some projects may be local, all client-facing ZSers should be prepared to travel as needed.
