About the role

We are seeking a Workforce Planning/People Operations Specialist on a ~12 month contract basis to support business needs. This role is onsite in Chicago, IL. It is a highly operational, data-focused role requiring exceptional organization and attention to detail. The ideal candidate will have experience managing HR databases or similar systems and be comfortable working with high volumes of data, including thousands of positions and related attributes. Accuracy and data integrity are critical, as this person will maintain information within the client’s internal database used to release roles to hiring managers. The role will also support operational projects, requiring strong project management, communication, and documentation skills, including experience creating SOPs and process documentation.

Responsibilities

  • Headcount & Position Management (Business as Usual)
    • Help with the release/return of open positions from reserve to teams and track these releases
    • Support movement in and out of the departmental headcount reserve by making updates in the workforce management system
    • Pull organizational data exports when needed
    • Work with cross-functional partners to help unblock open positions if there are any roadblocks
    • Manage and review the queue of organizational change requests
  • Hiring Request Workflow Tool Management (Business as Usual)
    • Assign workflows to incoming hiring requests
    • Ensure requests are progressing through approval queues and close out completed tickets
  • Team Operations Management (Project Based)
    • Own and improve the headcount release tracker for next year
    • Explore integrations/automations for the release tracker
    • Capture and develop team’s Standard Operating Procedures (SOPs) in partnership (project timing: will start in H2, will take about a quarter)
  • BAU Reporting (Project Based)
    • Own and improve operational metrics that we report out on

Requirements

  • Bachelor's Degree
  • 2-5+ years of experience

Qualifications

  • Candidate must be:
    • Highly organized and detail-oriented
    • Comfortable working with large volumes of data
  • Data Management: This person will manage a significant amount of data within the client’s current organizational tool, including information across thousands of positions. They must be comfortable working with high-volume data while maintaining accuracy and attention to detail.
  • Project Management: Strong project management skills are important. Candidates should be able to understand timelines, manage priorities, take ownership of deliverables, and ensure work is completed accurately and on time.
  • Organization & Accountability: Must be able to stay organized across multiple moving pieces, track progress, and be accountable for deliverables.
