About the Role

This position serves as the primary point of contact for welcoming guests to the Admissions Office. Responsibilities include coordinating campus tours, assisting with prospective student recruitment, managing the Admissions budget, and overseeing recruitment materials. The role also involves supervising student employees and ensuring a positive experience for all visitors.

Responsibilities

  • Assist with the recruitment of prospective students and families.
  • Plan, administer, track, and report all individual and group campus visits.
  • Coordinate campus tours for the Gainesville, Downtown Center, and East Campus locations.
  • Provide a positive front office experience for all visiting students and families, including walk-ins.
  • Hire, train, coordinate, and supervise the Golden Stars student employees in conjunction with the Events Coordinator.
  • Answer the Admissions Office main telephone line, triage callers, and assist with overflow phone activities.
  • Ensure all calls and campus visits are documented in Slate CRM and provide appropriate resources to prospective students and families.
  • Plan and coordinate personalized on-campus visit experiences for accepted applicants.
  • Manage incoming mail and ensure timely distribution of records and documents to Admissions Operations.
  • Coordinate dialogue between prospective students and Brenau resources, including Academic departments, Student Services, and the Office of Financial Aid.
  • Monitor the admissions main email inbox, respond to inquiries, and forward emails to appropriate parties.
  • Collaborate with the Events Coordinator to plan, coordinate, and participate in Admissions events, including open houses, yield events, and orientation.
  • Assist with office activities such as mailings, data entry, and file maintenance.
  • Provide timely, effective, and professional communication with faculty, staff, and guests regarding campus visits.
  • Send directions and parking information to campus visitors.
  • Ensure the front office is a safe, clean, and welcoming environment.
  • Maintain inventory of office supplies and tour-related materials.
  • Perform other duties as assigned by supervisor.

Requirements

  • High School diploma required; bachelor’s degree strongly preferred.
  • Superior verbal and written communication skills.
  • Knowledge of Brenau’s academic programs and services.
  • Ability to promote Brenau effectively, honestly, and openly.
  • Ability to relate well to prospective students of all ages and their families.
  • Self-motivated, highly organized, and dedicated to the University’s mission.
  • Ability to recognize appropriate procedures for various situations and maintain confidentiality of student records.
  • Must provide the highest level of customer service while adhering to Brenau University and Southern Association of Colleges and Schools policies.
  • Must arrive punctually (8:30 a.m. unless otherwise approved) and maintain a consistent lunch hour for scheduling purposes.
  • Professional attire required.
  • Must foster an atmosphere of positive teamwork.

Supervisory Responsibilities

  • Supervise, manage, and motivate student employees to achieve departmental goals.

Schedule

Full-time, 37.5 hours per week. Generally Monday–Friday from 8:30 a.m.–5:00 p.m. Hours may be extended to meet departmental needs, including nights and weekends as required.

Work Environment

  • Sedentary work performed in an office environment.
  • Requires ability to operate standard office equipment and keyboards.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Ability to travel short distances and/or drive a vehicle to deliver and pick up materials.
  • Exerting up to 15 pounds of force to lift, carry, push, pull, or otherwise move objects.
  • Repetitive motion involving substantial movements of the wrists, hands, and/or fingers.
  • Close visual acuity required for preparing and analyzing data, transcribing, viewing a computer terminal, and extensive reading.

Travel Requirements

Minimal local travel required, including operation of a university vehicle or personal vehicle. Must be at least 21 years of age, possess a valid Georgia driver’s license, and maintain a good driving record.

Special Requirements

  • Must be eligible to work in the United States without employer sponsorship.
  • Subject to various screenings, including:
    • Criminal background checks (pre-employment and random).
    • Credit checks for positions handling university funds or credit cards.
    • Motor Vehicle Report (MVR) checks for employees operating a university vehicle or driving on university business.
    • Pre-employment, post-offer, and random drug screens for sensitive positions, regular travelers, or vehicle operators.
  • Must report any arrest (within five days) to the Office of Human Resources, including traffic violations for those listed on the auto insurance policy.
  • Proof of any required professional degree, license, or certification must be submitted at the time of application.

Title IX Implications

This is a responsible employee position. Brenau University requires all responsible employees to report any possible sexual harassment or discrimination based on sex to the Title IX Coordinator. Employees must also provide the Title IX Coordinator’s contact information to individuals disclosing pregnancy or related conditions and inform them of available support.
