This role requires collaboration with cross-functional teams—including Engineering, Construction, Procurement, Legal, and Finance—as well as with external stakeholders such as OEMs, subcontractors, and project owners.

Responsibilities

  • Manage the full lifecycle of warranty claims, including intake, validation, documentation, response, and closeout.
  • Maintain detailed claim logs, supporting documentation, and communications using approved company systems (Procore, Smartsheet, etc.).
  • Coordinate site inspections and technical evaluations with field personnel to validate claim legitimacy.
  • Support preparation of claim packages and correspondence to Owners and OEMs for review and approval by the Director.
  • Track warranty performance metrics, timelines, and costs across all active projects.
  • Interpret EPC contract warranty provisions and OEM warranty terms to confirm coverage and obligations.
  • Review and analyze technical issues to distinguish workmanship defects from equipment failures.
  • Provide recommendations on claim disposition based on contractual and technical merit.
  • Assist in standardizing warranty requirements and processes across EPC agreements.
  • Serve as primary contact for warranty matters on assigned projects.
  • Collaborate with internal departments and external partners to ensure timely claim resolution.
  • Draft professional communications, transmittals, and claim responses for internal and external distribution.
  • Escalate complex issues with comprehensive documentation of findings and recommendations.
  • Maintain an organized warranty database with accurate tracking of claims, costs, and resolutions.
  • Develop and issue regular warranty status reports and dashboards to management.
  • Identify and analyze trends in recurring failures or defects to support preventive actions.
  • Support annual warranty reserve forecasting and cost reporting.
  • Contribute to the development and continuous improvement of warranty workflows, templates, and standard operating procedures.
  • Support system integration and reporting enhancements between warranty management tools and corporate databases.
  • Assist in internal training and knowledge sharing to strengthen warranty awareness across EPC project teams.
  • Conduct site visits as needed to inspect reported defects, confirm repair quality, and validate claim resolutions.
  • Ensure corrective actions meet both technical and contractual requirements.
  • Maintain documentation of all field activities, including photos and written reports.

Qualifications

  • Bachelor's degree in Engineering, Construction Management, Business Administration, or a related field.
  • 5–8 years of experience in EPC project delivery, warranty management, contract administration, or related functions.
  • Familiarity with EPC contract structures, warranty terms, and claims processes.
  • Strong technical understanding of solar or renewable energy components (modules, inverters, trackers, cabling, etc.).
  • Proficiency with Procore, Microsoft Excel, and database management systems.
  • Excellent written and verbal communication skills.
  • Proven ability to manage multiple priorities in a fast-paced, cross-functional environment.
  • Analytical and detail-oriented mindset with sound problem-solving skills.
  • Expected to travel up to 50% or as requested based on project demands.

Preferred Qualifications

  • Experience with OEM warranty administration or field quality assurance.
  • Understanding of QA/QC and cost control processes.
  • Familiarity with Smartsheet, Power BI, or other data-visualization/reporting tools.
  • Experience supporting claim negotiations or settlements.
