Warranty Administrator
About the role
The Warranty Administrator is responsible for the timely and accurate registration of equipment warranties, extended coverage programs, service agreements, and related warranty enrollments for Blanchard Machinery. This position serves as the primary administrator for warranty registration processes across Caterpillar and Allied product lines, ensuring customers receive the coverage and benefits they are entitled to while maintaining accurate warranty records and compliance with OEM and vendor requirements.
Responsibilities
- Registers new equipment warranties, extended service coverage (ESC), extended protection plans (EPP), and other applicable warranty programs with Caterpillar and Allied vendors.
- Reviews all warranty work orders prior to closing to ensure appropriate information is included in Service Link.
- Processes warranty enrollments and registrations accurately and within required OEM and vendor deadlines.
- Audits machine sales records to ensure all eligible equipment is properly registered and enrolled in applicable warranty and coverage programs.
- Maintains accurate warranty registration records in DBS, Service Link, and OEM/vendor systems.
- Reviews registration reports and exception reports to identify missing, incomplete, or inaccurate registrations.
- Researches and resolves registration discrepancies, enrollment errors, and coverage issues.
- Collaborates with Sales, Service, Parts, Rental, Product Support, and Warranty teams to obtain documentation required for registrations and enrollments.
- Serves as a resource to branch personnel regarding warranty registration requirements, coverage activation, and enrollment procedures.
- Processes labor registration and insurance enrollment documentation as required by Caterpillar, Allied vendors, and insurance providers.
- Maintains warranty start dates, expiration dates, and coverage eligibility to ensure accurate system records.
- Maintains documentation supporting warranty registrations and enrollments in accordance with company and vendor requirements.
- Works with OEM and Allied vendor representatives to resolve registration issues and coverage discrepancies.
- Provides training and guidance to dealership personnel regarding warranty registration processes and best practices.
- Affords assistance with warranty-related audits and reporting requests.
- Identifies process improvement opportunities to increase registration accuracy and reduce processing delays.
- Communicates with internal and external customers and acknowledges requests within 24-hours.
- Utilizes critical thinking and sound judgment to resolve registration and enrollment issues efficiently.
- Makes informed decisions after gathering necessary facts and evaluating available options.
- Maintains confidentiality of customer, dealer, and warranty information.
Requirements
- A High School Diploma or equivalent required.
- An Associate’s or Bachelor’s degree in business related field preferred.
- Previous experience in warranty administration, equipment registration, dealer operations, or related administrative functions preferred.
- Experience working with Caterpillar or similar OEM warranty systems preferred.
- A high degree of interpersonal skills with excellent written (detail oriented) and verbal communications skills is required.
- A basic technical knowledge of machine models and functions of both CAT and Allied.
- Basic proficiency with Microsoft Office Software.
- Ability to professionally and effectively communicate with executives, managers, employees, vendors and customers.

Qualifications
- Must have basic technical knowledge of machine models and functions of both CAT and Allied.
- Must be an enthusiastic, hard worker with ability to complete time sensitive work based on self-initiative with minimal supervision.
- Must be proficient with Microsoft Office Software.
- Must have knowledge of DBS and CAT Internet Sites (Simsi, SIS, Global Warranty).
