Warehouse Receptionist

Key Responsibilities

  • Greet and direct all visitors, vendors, and drivers in a professional and courteous manner.
  • Answer and route incoming calls promptly, taking messages as needed.
  • Maintain a clean and organized front desk and reception area.
  • Receive, sort, and distribute incoming mail and packages.
  • Monitor and manage visitor logs and ensure all guests comply with safety procedures.

Essential Responsibilities

  • Reception Duties:
    • Perform data entry of warehouse documents including shipment receipts, inventory adjustments, and order processing.
    • Maintain and update shipping, receiving, and inventory control logs.
    • Aid in generating shipping labels, bills of lading, and other required paperwork.
    • Cook up office supply orders and maintain stock of administrative materials.
    • Support warehouse team with filing, reporting, and recordkeeping tasks.
    • Cook up office administrative tasks such as setting up workstations, organizing storage areas, and preparing office layouts.
    • Order and maintain stock of office and warehouse supplies including furniture, cleaning materials, and general inventory needs.
    • Assist in the initial setup and coordination of the warehouse office environment, including arranging IT support and office equipment.
    • Liaise with vendors and service providers for facility-related needs or repairs.
  • Warehouse Coordination:
    • Communicate with carriers, vendors, and internal departments to confirm deliveries and shipments.
    • Schedule dock appointments for incoming and outgoing freight.
    • Monitor inventory and assist with cycle counts and reconciliation as needed.
    • Help track and resolve discrepancies in shipping or receiving documentation.

Minimum Education Qualifications

  • A high school diploma or GED and at least 2–3 years of relevant freight forwarding experience.
  • Experience across sea, air, and road transportation logistics preferred.

Physical Requirements

  • May require walking primarily on a level surface for periodic periods throughout the day.
  • May involve reaching above shoulder heights, below the waist or lifting as required to file documents or store materials throughout the workday.
  • Proper lifting techniques required.
  • May include lifting up-to 25 pounds for files, computer printouts on occasion.
