About the Role
The Warehouse Administrative Assistant provides general office and administrative support to warehouse operations. This role requires strong organizational skills, attention to detail, professionalism, and the ability to independently prioritize and manage a diverse workload in a fast-paced environment.
Responsibilities
- Monitor and respond to incoming emails and requests, route inquiries to appropriate team members.
- Receive incoming shipments and notify the Warehouse Supervisor or Manager of discrepancies or issues.
- Perform accurate data entry related to incoming and outgoing shipments.
- Track inventory levels, order office and warehouse supplies as needed, and assist with tool tracking.
- Coordinate and schedule deliveries or pickups at the direction of the Warehouse Supervisor or Manager.
- Maintain organized filing systems, both electronic and physical.
- Provide administrative and clerical support including photocopying, scanning, and document management.
- Deliver high-quality customer service while maintaining professionalism and positive communication.
- Work independently while also collaborating effectively with warehouse and office teams.
- Maintain strict attention to detail and accuracy in all tasks.
- Comply with company policies, including drug and background screening requirements.
- Maintain data tracking records (loads completed, mileage, tool spend, etc.).
- Perform other duties as needed to support projects, operations, and the department.
Requirements
- High school diploma or equivalent required.
- Minimum of one to two years of experience in a warehouse environment with concurrent administrative responsibilities.
Skills
- Bilingual (Spanish-speaking preferred).
- Proficient in Microsoft Word, Excel, and Outlook.
- Strong verbal and written communication skills with professional phone etiquette.
- Ability to interact effectively with internal and external customers while projecting a positive, professional demeanor.
- Demonstrated discretion, maturity, and ability to maintain confidentiality.
- Highly organized with strong time-management skills and attention to detail.
- Ability to prioritize and manage multiple tasks in a fast-paced, schedule-driven environment.
- Sound judgment and ability to respond calmly and professionally to challenging situations.
- Ability to work collaboratively in a team environment as well as independently.
- Reliable, punctual, and dependable.
- Typing ability of at least 50 words per minute with accuracy.
- Professional personal appearance.
Schedule
- Able to work Monday–Friday, 7:00 AM–4:00 PM.
- Must be able to work 8 hours a day, 40 hours per week, and overtime as required.
- Must be on-call to address delays, emergencies, bad weather, and other issues at the jobsite.
- Night shifts may be required as needed.
Work Environment & Physical Demands
- May work inside or outside with possible exposure to extreme hot or cold temperatures and weather elements in restricted or confined spaces, and on slippery or uneven surfaces.
- Exposure to working on ladders, scaffolds, aerial lifts, catwalks, and other typical heavy construction environments.
- Operates in an office setting using standard office equipment such as computers, phones, photocopiers, and filing cabinets.
- Must be able to traverse and inspect all areas of jobsite in all types of weather; this may include walking, climbing, reaching, bending, crawling, standing, or stretching.
- Must be able to regularly lift and/or move up to 50 pounds.
- Move about on the feet regularly and sit for extended periods of time.
- Requires the ability to sit and work at a computer for extended periods of time.
- Exposure to characteristic construction site dangers.
- Must possess good vision (normal or corrected), including close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.
- Must possess good hearing (normal or corrected).
- Must be able to wear personal protective equipment (hard hat, safety glasses, safety vest), as needed.
- Must be able to work in the presence of customers and their representatives with little or no interference or disruption while maintaining a professional and courteous image.
