Location: Nashville, TN – Department of Health, Davidson County (Vital Records and Statistics Division). In-office position requiring a criminal background check.
Pay
$3,614.00 monthly ($43,368.00 annually).
Qualifications
- Education equivalent to graduation from a standard high school.
- Two years of full-time work in vital records, medical records, clerical/office support, or customer service delivery of health information.
- Substitution of Education for Experience: Qualifying experience may substitute for required education on a year-for-year basis (up to four years).
- Substitution of Experience for Education: Accredited college coursework may substitute for required experience on a month-for-month basis (up to two years).
Responsibilities
- Respond to inquiries from the public, state/federal agencies, and external stakeholders via phone, email, correspondence, or in person.
- Collect and receipt fees for certificates or services; prepare correspondence for additional information, documents, or fees.
- Update/edit records in the database to correct vital event information; amend electronic images in compliance with Vital Records laws and rules.
- Enter request data into databases to track, locate, and issue records or certify no record found.
- Review court orders, forms, and applications for compliance with laws and rules to process new birth certificates.
- Review applications to determine entitlement to requested services or records.
- Review scanned documents to ensure correct attachment to images; explain and enforce Vital Records laws, rules, policies, and procedures.
- Maintain daily cash drawer for accurate closeout; monitor customer service lobby for safety, traffic flow, and supplies.
- Report suspicious documents, activity, or behavior to supervisor for further action or investigation.
- Retrieve original certificates from storage for sealed record files; review documents for acceptability as supporting evidence.
