We are an established roofing and construction company generating approximately $400,000 in annual revenue. We are rebuilding our internal team and seeking a proactive, dependable Virtual Assistant to help generate new business, strengthen our online presence, and ensure important opportunities do not fall through the cracks.

About the Role

This position begins with a strong focus on marketing, lead generation, and customer follow-up. As trust and familiarity with the company grow, the role can expand into full-time support involving administration, scheduling, bookkeeping coordination, and general business operations. We need someone who takes ownership, follows through, communicates clearly, and actively looks for ways to improve the business.

Responsibilities

  • Monitor local email forums, community groups, and other channels where homeowners request roofing and construction services.
  • Identify qualified opportunities and respond quickly.
  • Ask prospective customers basic qualifying questions before scheduling an estimate.
  • Help filter out low-intent inquiries so the owner can focus on serious prospects.
  • Follow up consistently with leads, estimates, and past customers.
  • Maintain an organized lead tracker or CRM.
  • Schedule estimates and confirm appointments.
  • Create and publish consistent social media content to maintain an active daily online presence for the company.
  • Request and manage customer reviews, project photos, and testimonials.
  • Coordinate with the company’s existing website and marketing providers.
  • Track which marketing activities generate leads and completed jobs.
  • Research customer-financing providers suitable for roofing projects.
  • Provide a clear daily or weekly report covering leads, follow-ups, appointments, and results.

Future Responsibilities

  • Manage the owner’s calendar, inbox, reminders, and administrative tasks.
  • Organize customer records, documents, passwords, and internal information.
  • Assist with invoices, receipts, expense tracking, and bookkeeping preparation.
  • Help maintain accurate financial reporting and visibility into job profitability.
  • Coordinate communication among customers, employees, subcontractors, and vendors.
  • Document recurring processes and build simple operating procedures.
  • Assist with recruiting, onboarding, and employee coordination.
  • Handle research, travel arrangements, purchasing, and other executive-assistant tasks.
  • Identify operational problems and recommend practical solutions.
  • Become a dependable right-hand person who helps keep the company organized.

Requirements

  • Highly dependable and consistent.
  • Proactive, resourceful, and comfortable taking initiative.
  • Excellent written and spoken English.
  • Strong customer-service and sales-follow-up skills.
  • Organized and attentive to detail.
  • Comfortable using social media, email, spreadsheets, calendars, and CRM systems.
  • Able to learn new software quickly.
  • Capable of working independently without constant supervision.
  • Persistent with follow-up while remaining professional.
  • Comfortable working with a direct, fast-moving business owner.
  • Interested in growing into a long-term leadership and operations role.

Experience with roofing, construction, home services, digital marketing, lead qualification, bookkeeping, or executive assistance is helpful but not required.

Performance Expectations

Success in the first 30–60 days will be measured by:

  • Consistent daily monitoring of lead sources.
  • Faster response times to prospective customers.
  • Accurate tracking of every lead and follow-up.
  • More qualified estimates placed on the owner’s calendar.
  • Consistent social media and online activity.
  • Fewer missed opportunities and administrative tasks.
  • Clear reporting on activities and results.
  • Demonstrated reliability, initiative, and follow-through.

The long-term goal is for this position to generate enough new business to justify expanding into a dedicated, full-time role.

Schedule

  • Initial commitment: approximately 10 hours per week.
  • Opportunity to increase to 20 hours and eventually 40 hours per week based on performance and company needs.
  • Schedule must overlap sufficiently with U.S. business hours to respond to leads promptly.

Pay

Performance bonuses or commissions may be offered for qualified leads that become completed jobs. Long-term growth opportunity for the right person.
