About The Role

We are seeking a highly organized and self-motivated Virtual Assistant to join ORIONYX ENGINEERING LTD. This remote position is exclusively available to candidates within the United States.

Your responsibilities will include managing schedules, coordinating projects, handling communication, and supporting client interactions. This role offers an excellent opportunity for individuals who excel in multitasking and thrive in a fast-paced, remote work environment. You will collaborate closely with project managers, finance teams, and clients to ensure smooth operations and effective communication across the organization.

  • Manage daily administrative tasks, including scheduling meetings, organizing calendars, and maintaining files
  • Prepare and format documents, reports, presentations, and spreadsheets as required
  • Aid project managers with planning, tracking project timelines, deliverables, and resources
  • Maintain accurate and up-to-date project documentation and records
  • Serve as a primary point of contact for internal and external communications, managing emails and inquiries efficiently
  • Draft, proofread, and review correspondence to ensure professionalism and accuracy
  • Organize and maintain databases, ensuring data accuracy and proper categorization
  • Conduct research and compile information to support various projects and initiatives
  • Support client relationship management by responding to inquiries and assisting with proposals, presentations, and contracts
  • Cook up meetings, including scheduling, preparing agendas, taking minutes, and following up on action items
  • Aid with basic bookkeeping tasks such as expense tracking, invoice processing, and financial reporting
  • Collaborate with the finance team to ensure timely and accurate financial records
  • Order office supplies and manage inventory to ensure operational efficiency
  • Implement and optimize organizational systems and workflows using various software and collaboration platforms
  • Provide basic technical support to team members regarding software and tools
  • Identify opportunities for process improvements and suggest enhancements to increase productivity
  • Stay informed about industry trends and best practices in administrative support

Qualifications

  • High school diploma required; associates or bachelor’s degree in business administration, management, or a related field preferred
  • Proven experience as a virtual assistant or in a similar administrative role
  • Experience in an engineering or technical environment is a plus
  • Strong organizational and multitasking skills with keen attention to detail
  • Excellent written and verbal communication abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Familiarity with project management and collaboration tools such as Trello, Asana, or Slack
  • Basic knowledge of bookkeeping and financial management is advantageous
  • Self-motivated with the ability to work independently with minimal supervision
  • Strong time management skills and reliability
  • A dedicated workspace with a reliable internet connection for remote work
