Video Project Manager - Life Insurance

Assist with the coordination of creative and video projects from intake through delivery within a fast-paced in-house agency. Serve as a liaison between business partners, creative teams, and video resources to keep work on scope and on schedule. Producer-level video experience is required to anticipate production needs, support workflow planning, and communicate effectively throughout the video lifecycle.

Responsibilities

  • Assist the Video Producer with project management throughout the video lifecycle.
  • Manage project intake, scoping, timelines, status reviews, and closeout for video and other creative assignments.
  • Schedule and monitor team assignments and capacity in the production management tool, maintaining visibility into cost, timing, dependencies, and deliverables.
  • Manage current workload and forecast demand through capacity analysis.
  • Prepare the resource schedule for daily review and quickly reprioritize work as business needs and deliverables change.
  • Set realistic timeline expectations and proactively communicate status, risks, scope changes, and mitigation plans to stakeholders.
  • Assist in coordinating creative, production, and post-production activities, applying video process knowledge to anticipate requirements and handoffs.
  • Ensure applicable release and approval requirements are documented in the management tool.
  • Track projects and costs, review estimates, and support delivery within approved budgets.
  • Diagnose workflow or delivery issues, recommend practical solutions, and drive resolution.
  • Develop and maintain standard work and validate and update processes as needed.
  • Provide regular reporting to partners.
  • Produce monthly operational metrics using time-tracking, workload, utilization, and delivery data, and identify improvement opportunities.
  • Assist in implementing operational improvement projects aimed at enabling the video team to use automation solutions and provide self-service video options.

Requirements

  • Professional video producer experience is mandatory. Candidates without professional producer experience will not be considered.
  • Demonstrated fluency in pre-production, production, and post-production workflows, including estimates, schedules, crews, talent, locations, vendors, reviews, releases, file handoffs, and final delivery.
  • 5+ years of project management experience in an in-house agency, creative agency, corporate marketing, or video production environment.
  • Experience managing multiple concurrent projects, competing priorities, budgets, and cross-functional stakeholders.
  • Experience with resource planning, forecasting, capacity management, and vendor coordination.
  • Strong communication, organization, judgment, and proactive problem-solving skills.
  • Working knowledge of project or workflow platforms such as Workfront, Asana, Monday.com, or Smartsheet, as well as Microsoft 365.

Preferred Qualifications

  • Experience in an enterprise in-house agency or regulated industry.
  • Familiarity with Agile, Scrum, or hybrid project-delivery methods.
  • Experience with time-tracking, utilization, and operational reporting.
  • Experience with AI and video technology.

Schedule

This is a 40-hour-per-week, hybrid contract requiring 3 days onsite in Springfield, MA through the end of the year with the potential to extend into 2027.

In this position, you may have access to client or customer systems, confidential and/or proprietary information or data, including financial information. This role requires close collaboration with other individuals in a team environment.
