DeSoto Animal Clinic is seeking a full-time veterinary receptionist to join our team. Founded in 1980, we have a strong reputation for providing high-quality veterinary care and maintaining a loyal client base.

Responsibilities

  • Opening the practice and preparing for the day as instructed
  • Tidying and cleaning the public areas of the practice
  • Greeting clients and patients upon their arrival
  • Ensuring all clients in the waiting room have been checked in promptly
  • Responding to incoming phone calls using appropriate phone etiquette
  • Offering informed sub-professional advice regarding animal care and treatment
  • Directing other inquiries and communications to relevant staff members
  • Preparing for future appointments by organizing necessary forms
  • Processing completed forms and gathering required information
  • Accurately entering new client data and updating existing information in the computer system
  • Managing emergency situations by adhering to established clinic policies and procedures
  • Assessing the nature of illness or injury and providing reassurance to anxious pet owners
  • Adhering to hospital policies regarding patient admissions
  • Verifying that immunizations and other routine procedures are up to date
  • Informing staff of an appointment’s arrival by updating the status flag on the computer
  • Communicating all pertinent information to the doctors, assistants, and technicians in the appointment notes
  • Reviewing discharge instructions and medications with pet owners
  • Ensuring that future follow-ups and reminders are established
  • Scheduling follow-up appointments if needed
  • Providing clients with medications, instructions, food, and any other items for home
  • Reviewing the services provided to the pet (itemizing the receipt) and informing the client of the total amount due
  • Ensuring that owners fulfill all financial obligations
  • Accepting payment from the client
  • Scheduling appointments for the appropriate veterinarian after gathering all necessary information from the client
  • Using the correct appointment type for each visit
  • Confirming all appointment details with the client: date, time, doctor, reason for the visit, and any samples the client should bring
  • Demonstrate technical knowledge of products sold, including heartworm prevention, flea treatment, and over-the-counter items
  • Only selling prescription heartworm prevention and flea treatment when the patient is current on their exam and has been approved for those specific products

Qualifications

The ideal candidate will have a practical understanding of the operations of a veterinary clinic and the services they provide. Experience is preferred but not essential, as on-the-job training will be provided. A friendly and customer-focused attitude is essential, along with a good grasp of veterinary terminology used in the clinic.
