Veterinary Hospital Receptionist

The Concierge represents the mission and values to all customers and is typically the first and last person a client encounters when entering our Vetco Total Care hospital. This role inherently involves providing excellent customer care, fostering cohesion and motivation within the practice, and ensuring the patient’s needs always come first.

Responsibilities

• Answer the practice phone and route calls appropriately.
• Maintain the hospital appointment calendar, including scheduling appointments and reviewing online bookings.
• Greet all visitors, clients, and patients by name as they arrive and notify technical staff.
• Monitor wait times and make accommodations during peak or emergency situations.
• Participate in training new staff members and disseminating knowledge as required.
• Ensure the waiting area is cleaned (including disinfecting when necessary) and well-stocked.
• Confirm appointments via the client’s preferred communication method (phone, email, text) the prior day.
• Provide backup support to technical staff for room preparation or patient discharge when needed.
• Optimize hospital workflow, reschedule appointments, and communicate with clients about delays.
• Handle upset or unhappy clients with compassion while ensuring medical staff can focus on care.
• Perform additional duties as assigned.

Requirements

• High school diploma (required).
• At least 1 year of experience in veterinary practice or a customer-facing role.
• Excellent written and verbal communication skills.
• Compassionate, professional demeanor during emotional or stressful situations.
• Exceptional telephone and computer skills.
• Team player willing to learn new techniques and accept change.
• Preferred: Previous experience using a Practice Management System.

Work Environment

Job duties are conducted in a Vetco Total Care full-service veterinary hospital. This role may involve bending, kneeling, lifting (up to 30 pounds), and standing for long periods. A significant portion of time is spent in direct contact with clients and their pets.
