This is a full-time position with the Department of Veterans Affairs located in Hot Springs, SD. The Admissions Coordinator serves as the primary point of contact for prospective residents at the Michael J. Fitzmaurice State Veterans Home (MJFSVH).

About the role

The Admissions Coordinator manages the admissions process, including application intake, document and information gathering, interdepartmental coordination, applicant tours, applicant communication, and outreach to inform and advise the public that the MJFSVH is a long-term care option for veterans and their eligible dependents.

Responsibilities

  • Serve as the point of contact for applicants, families, and referral sources, guiding applicants through requirements and timelines.
  • Receive and review applications for completeness; assist applicants in gathering required documentation and ensure accuracy prior to routing to the admissions team.
  • Follow established timelines and process completed applications to Nursing, Business Office, and Pharmacy; track acknowledgements and recommendations and keep stakeholders informed.
  • Administer prioritizations and waitlist processes consistent with veteran eligibility and statutory requirements, maintaining accurate and current lists.
  • Maintain and organize electronic applicant records and ensure retention in accordance with applicable policy and state statutes.
  • Coordinate with Nursing, Social Services, Pharmacy, and Business Office to ensure capacity, readiness, and smooth day-of-admission handoffs.
  • Contribute to ongoing process improvements.
  • Conduct outreach to inform outside agencies about this facility being a long-term care option and assist with the completion of required admissions documentation when necessary.

Requirements

  • High school diploma or equivalent.
  • Customer service oriented with excellent verbal and written communication skills.
  • Proficiency with Microsoft 365 suite of products.

Qualifications

  • Preferred: Familiarity with long-term care setting and regulatory frameworks.
  • Preferred: Experience in a long-term care setting.
  • Preferred: Familiarity with Federal Department of Veterans Affairs, Medicaid, Medicare, and private insurance benefits.
  • Knowledge of applicable state statutes for long-term care and the South Dakota Department of Veterans Affairs.

Working Conditions and Physical Requirements

  • Onsite at MJFSVH in Hot Springs; travel may be required 25% to 50% of the time throughout the state and surrounding border states.
  • Computer and phone work with periods of standing/walking during applicant tours and day-of-admission activities.

Pay

$23.56 to $29.00 per hour, depending on qualifications and experience.

Schedule

Full-time, 40 hours weekly.
