Vendor Management Specialist
About the Role
As a Vendor Management Specialist at WaterBridge, you will become a pivotal part of our team, making significant contributions to our vendor and supplier accounts. This role oversees all vendor and supplier requests and account maintenance, working closely with multiple departments and management.
Responsibilities
- Collect vendor data and documentation from approved vendors and integrate the vendor in Workday.
- Validate banking details and enroll the supplier with ACH payments.
- Validate Tax Registration numbers.
- Provide suppliers with internal documentation for customer onboarding.
- Assist the legal team with executing agreements.
- Identify high-risk vendors and ensure they comply with high-risk regulations.
- Process vendor change requests such as contact and banking information.
- Clean the Vendor Master file (making notations on inactive vendors with no activity within the last 18 months).
- Verify Insurance Certificates, expiration, and collect information if expired or missing.
- Analyze vendor records to identify duplicate vendors and/or vendors with incomplete information.
Requirements
- High school diploma or GED (Associate’s or college degree preferred).
- Thrives in a fast-paced environment and can manage multiple projects at the same time.
- Collaborates effectively and frequently with office and field team members, leaders, and vendors.
- Strong organizational skills.
- Highly detail-oriented.
- Excellent problem-solving skills and good time management to balance competing priorities and deadlines.
- Ability to switch focus quickly when urgent needs arise.
- Strong verbal and written communication skills.
- Proficient in project management, analytics, Excel, Word, Adobe Pro (editing, redacting, preparing, and creating documents).
- Experience with Workday, OSV, and Veriforce is strongly preferred.
- At least 3 years of Vendor Management experience within any industry is strongly preferred.
Schedule
- Full-time position.
- Shift includes standard work week with half day Fridays: Monday – Thursday (9 hours) & Friday (4 hours).
- Hybrid position, with the flexibility to work remotely.
