About the role
The Vendor Compliance & Operations Coordinator plays a key role in new vendor onboarding, order processing, and error management. This role is responsible for daily monitoring of order operations, ensuring a smooth end-to-end order process for the customer. You will work closely with the operations and vendor compliance team while also contributing to cross-departmental success.
Success in this role includes reducing order errors and processing delays, ensuring vendors consistently hit go-live dates, and maintaining accurate, timely order data flow between systems.
Responsibilities
- Serve as the liaison between dropship vendors and the customer experience team, addressing missing or incorrect order information (e.g., phone numbers, names, zip codes, vendor codes).
- Work cross-departmentally to correct vendor information or codes in the ERP system and monitor/troubleshoot dropship inventory discrepancies.
- Ensure EDI documents are sent on time and orders ship with the correct carrier.
- Issue chargebacks for shipping discrepancies.
- Confirm vendors include required BOL (Bill of Lading) information for customer tracking and returns.
- Handle mis-ships, replacement part orders, and vendor delays in line with the dropship vendor guidebook.
- Monitor the accuracy of new automated reports and processes.
- Review errored estimates to ensure orders are processed correctly and on time, escalating issues as needed.
- Check systems and EDI reports daily to ensure orders are dropshipping correctly and flowing between systems.
- Maintain the dropship vendor portal and audit documents.
- Communicate with customers about backorders or order updates not sent through automated processes, and proactively monitor automated updates to flag missing emails or issues.
- Assist in onboarding new dropship vendors using a task management system, coordinate cross-departmentally, and ensure vendors meet required go-live dates.
- Ensure vendors schedule training with the EDI provider during onboarding and attend calls to verify they receive correct information.
- Host kick-off calls with new dropship vendors and address their questions about working with the company.
- Pull open order reports to align with the accounting close period.
Requirements
- 2+ years of experience in an operations or customer experience role.
- Experience with NetSuite and Shopify.
- Experience working with a task management system like Asana.
- Detail-oriented, analytical, with strong written and verbal communication skills.
- Ability to thrive in a fast-paced, dynamic environment while working independently and collaborating with a team.
- Knowledge and technical experience working with an EDI system is a plus.
