Vendor Analyst

About the role

This position involves managing vendor relationships, performing data analysis, ensuring compliance, and supporting sourcing activities for Safelite's facilities and construction needs.

Responsibilities

  • Vendor Performance & Relationship Management
    • Monitor vendor performance using SLAs, KPIs, compliance metrics, and customer feedback.
    • Track vendor performance metrics such as response times, completion rates, cost adherence, safety compliance, and service quality.
    • Support Quality Based Reviews (QBRs) and structured performance reviews for facility services and construction contractors.
    • Assist in resolving vendor issues, including delays, quality concerns, warranty questions, and repeated service failures.
    • Provide rapid vendor support for urgent facility issues like emergency repairs, environmental events, and storm impacts.
  • Data Analysis & Reporting
    • Analyze spend patterns, work order trends, vendor pricing variations, and seasonal factors.
    • Create and maintain dashboards for Facilities and Real Estate leadership showing vendor performance, cost trends, and risk indicators.
    • Provide insights to support decisions on consolidating vendor networks, adjusting scopes, or improving service coverage.
  • Contract, Compliance & Governance
    • Support the contract lifecycle for facility service agreements, maintenance programs, and construction contracts.
    • Track contract expirations, COIs, licensing, safety documentation, and compliance with Safelite policies.
    • Ensure work performed adheres to building codes, ADA requirements, OSHA safety expectations, and internal quality standards.
    • Aid in developing and maintaining standard scopes of work for recurring services.
  • Sourcing, RFx & Negotiation Support
    • Assist in running RFIs, RFPs, and competitive bid events for regions or service categories.
    • Compare vendor proposals, validate pricing structures, and ensure alignment with Safelite brand and operational needs.
    • Support leadership during negotiations with data, vendor history, and risk analysis.
  • Vendor Onboarding & System Administration
    • Facilitate onboarding of new facilities vendors through ServiceChannel, the Oracle Supplier Portal, or other Safelite vendor management and payment systems.
    • Ensure vendors meet Safelite requirements before activation, including insurance, licenses, safety documentation, IRS forms, etc.
    • Verify compliance with Safelite procurement and payment processes and maintain accurate vendor master data.

Requirements

  • 2–4 years of experience in vendor management, procurement, facilities operations, construction administration, or a related analytical role.
  • Strong analytical and reporting skills (Excel, Sheets, BI tools).
  • Experience managing or supporting facilities trades, construction vendors, or maintenance service providers.
  • Familiarity with ERP, procurement, or vendor management systems (ServiceChannel, Oracle, CMMS platforms, Basware a plus).
  • Strong communication skills and comfort working with field teams, contractors, and internal stakeholders.
  • Ability to interpret scopes of work, proposals, contract terms, work orders, and cost breakdowns.

Preferred Qualifications

  • Bachelor’s degree in Business, Supply Chain, Facilities Management, Construction Management, or related field.
  • Experience in multi-site facilities operations in retail, service, or logistics environments.
  • Understanding of building systems (HVAC, electrical, plumbing), construction processes, and safety requirements.
  • Experience with project management for small capital improvements or repairs.
  • Certifications: FM-related (CFM, FMP), procurement certifications (CPSM), or project management (CAPM/PMP).

Expected Work Location

It is expected that you will primarily perform work at the Safelite Home Office (7400 Safelite Way, Columbus, OH 43235). You are required to work in the office at least 4 days a week. Changes to work location arrangements are subject to managerial approval and business needs.
