Vascular OR Scheduler/ External Clinic Chart Prep

About the role

This position is within the Department of Surgery. Responsibilities include scheduling operating-room cases for Vascular Surgery at University Hospital, Community Campus, and Crouse, obtaining chart preparation for external clinics, handling phone messages via Outlook and EPIC, and checking in- and out-patients.

Responsibilities

• Coordinate OR surgical cases for the Vascular Surgery Division Chief and surgeons.
• Schedule procedures in EPIC for University Hospital, including required Pre-Admission Testing and Anesthesia-linked appointments.
• Work with Vascular Authorizations and Vascular MOA to ensure accurate authorizations are completed.
• Maintain communication with the Business Office to supply authorization information for surgical cases upon request.
• Schedule outpatient procedures such as CT scans and X-rays.
• Prepare charts in the EMR system, ensuring all pertinent patient information is available for providers prior to surgery (e.g., requesting missing test results or clearance notes).
• Assist with scheduling follow-up appointments in the outpatient practice as requested.
• Answer clinic phone calls, take accurate messages, and transfer calls to appropriate staff.
• Provide backup for Vascular/Vascular Lab at CNY with patient check-in and check-out.
• Provide backup for Vascular Authorizations.

Requirements

• Associate’s Degree or pertinent college-level courses and four years of administrative/office management experience, including supervisory experience.
• Equivalent combination of education and experience will be considered.

Preferred Qualifications

• Experience in a medical office environment.
• Knowledge of Microsoft Word, Excel, EPIC, and medical terminology.
• Familiarity with HIPAA, authorizations, and referrals processing.

Schedule

Monday – Friday, 7:30 am – 4:00 pm.

Pay

$23.49 – $36.23 per hour.
