Responsibilities
- Practice Management and Staff Development
- Administrative Oversight and Accountability of All Staff
- Maintain Staff Morale
- Problem Solve and Build a Positive Work Culture
- Collaborate with Other UC Location Supervisors
- Support, Delegate, and Participate in Clinic Operations
- Weekend and On-Call Coverage
- Visit Tracking and Order Tracking Management
- Review Daily Work
- Escalate Non-Compliance/Non-Response Concerns
- Plan Monthly Staff Meetings
- Communicate Items Regarding Trainings, Leadership Updates, and Other Discretionary Items
- Attend Necessary Meetings and Participate in CPH Strategic Committees/Subcommittees
- Attend Monthly Manager/Supervisors Meetings
- Maintain Strict Confidentiality and Adhere to HIPAA Guidelines
- Oversee Daily Deposit Reconciliation and Cash Management
- Maintain Inventory and Equipment Safety
- Monthly Safety Check of Equipment
- Assist Other Locations and Departments
- Provide Clinic Support as MA and/or PS
- Manage, Maintain, and Communicate Monthly Staffing
- Conduct Timely Staff Reviews
- Attend and Facilitate Provider Reviews and 1:1 Sit Downs
- On-Site Onboarding for New Employees
- Facilitate Training Schedule for New Hires
- Manage Staff and Provider Scheduling and Timecards
- Monitor and Support Staff Coverage
- Manage Timely Time Off Requests
- Provide Feedback on Providers and Staff
- Provide Input on Process and Procedure Improvements
- Ensure Patient Surveys Are Completed Within Appropriate Time Frame
- Triage and Handle Low-Level Patient Complaints
- Use Situations and Examples to Coach Staff
- Inform DCO of Situations at Weekly Meetings
- Hand Off High-Level Situations/Complaints to DCO or CMO
- Technology/Facility Inventory Tracking
- Maintain Office Equipment Per Manufacturer's Guidelines
- Submit Help Tickets as Needed
- Sort and Distribute Incoming and Outgoing Mail
- Maintain Clinic Readiness for Electronic Downtime
- Skilled in Management, Prioritization, Problem Solving, and Multitasking
- Skill in Exhibiting Compassion, Empathy, and Understanding
- Knowledge of Medical Practice Protocols Related to Scheduling Appointments
- Knowledge of Computerized Scheduling Systems
- Knowledge of Customer Service Principles and Techniques
- Knowledge of Medical Terminology
- Knowledge of Basic Math and Modern Office Procedures
- Ability to Communicate Calmly and Clearly with Patients
- Ability to Maintain Confidentiality Regarding Patient Records
- Ability to Work Effectively as a Team Member
Qualifications
- Certification in CPH PS
- RMA or CCMA Preferred
Education
- High School Diploma or Equivalent
Experience
- Minimum of 2+ Years’ Experience in Physician’s Office or Equivalent Combination of Training and Experience
- At Least 1 Year in Lead Position Preferred
