About the Role
The Affiliations and Visiting Student Rotation Manager serves as the primary liaison between the College of Medicine (COM) and clinical partners, managing all aspects of affiliation agreements and coordinating visiting student and global health programs, as well as assisting with regional health network (RHN) rotations. This position ensures compliance with accreditation standards, maintains strategic partnerships, and facilitates seamless educational experiences for medical students in clinical settings.
Responsibilities
- Affiliation Agreement Management (20%)
- Develop, negotiate, and maintain clinical affiliation agreements with hospitals, health systems, and other healthcare facilities.
- Develop, negotiate, and maintain affiliation agreements for research sites.
- Maintain comprehensive database of all active affiliations, including key contact information and agreement details.
- Monitor contract renewals and ensure timely execution of agreement amendments both for affiliations monitored centrally and through department/site coordinators.
- Collaborate with legal counsel and institutional compliance teams to review contract terms and conditions.
- Serve as liaison between COM leadership and outside site administrators.
- Resolve conflicts or issues that may arise between the COM and clinical partners.
- Cultivate and maintain positive relationships with clinical partners and key stakeholders.
- Assist in updating and maintaining policies and procedures related to clinical affiliations and student rotations.
- Visiting Student Rotation Coordination (30%)
- Oversee the placement and scheduling of visiting medical students in clinical rotations.
- Coordinate with clinical departments to determine sufficient capacity.
- Coordinate with clinical departments to disseminate Visiting Student Learning Opportunities (VSLO) data to department coordinators.
- Provide coordinator and faculty training on use of VSLO at MUSC-Charleston, the MUSC-AnMed campus, and within the Regional Health Network (RHN).
- Coordinate with clinical departments to publish an annual catalog of course offerings in VSLO, including dates available and any department-specific application requirements.
- Manage student application processes, including credential verification and background check coordination.
- Serve as primary point of contact for visiting students, clinical sites, and MUSC coordinators/faculty regarding rotation logistics.
- Monitor student compliance with site-specific requirements including immunizations, drug screening, and orientation completion.
- Provide monthly orientation sessions for students completing visiting rotations at MUSC-Charleston.
- Present away student data to the Selectives and Electives Committee and other committees as needed.
- Prepare reports and presentations for COM leadership and accreditation bodies.
- Maintain and update the visiting student guidebook, welcome letter, and other materials provided to visiting students.
- Oversee and serve as the primary contact throughout the onboarding process for all visiting students, including the assignment of NetIDs and PVIDs, MedHub account creation, OurDay account creation and module assignment/completion, Epic access, remote MUSC access, etc.
- Provide support, as needed, to the Assistant Dean for Clinical Coordination to assist MUSC-COM students going on away rotations.
- Compliance and Quality Assurance (10%)
- Coordinate evaluations to be sent to visiting students’ home institutions.
- Address any compliance issues or concerns that arise with clinical partners.
- Maintain documentation for accreditation reviews and institutional reporting.
- Site Liaison for the MUSC AnMed Clinical Campus (10%)
- Serve as the initial point of contact for students, faculty, and education leadership at the MUSC-AnMed campus; direct questions to the appropriate personnel in the Dean’s Office.
- Work with the Associate Dean for Clinical Education and Office of Assessment, Evaluation, and Quality Improvement (OAEQI) to develop and maintain a tracking system to monitor campus comparability, track curriculum outcomes and needs, and ensure alignment with LCME standards.
- Develop and implement a process to track required campus integration meetings; report compliance to the Clinical Education Committee (CEC) monthly.
- Meet weekly with the clinical curriculum staff from both the MUSC-Charleston and AnMed campuses to collaborate and provide support.
- Meet with the Associate Dean for Clinical Education and Associate Dean for the AnMed campus.
- Coordinate annual dinner for site directors and students in AnMed.
- Assist in gathering data and composing documents for the LCME related to the regional campus/primary care parallel track.
- Management of Regional Health Network (RHN) rotations (15%)
- Coordinate housing for sites without a local student coordinator.
- Complete visits to RHN sites on at least an annual basis.
- With COM finance department, ensure student receipt of scholarship funds after rotations completed.
- Track faculty and resident clinical preceptors at RHN locations to provide to LCME team, ensuring distribution and completion of annual educator modules.
- Develop and implement a process to ensure LCME metrics are being met (e.g., course objectives sent, site director-course director meetings are occurring).
- Global Health Coordinator (5%)
- Oversee all communication with students related to the Year 4 Global Health opportunities.
- Assist with updating clinical course forms each year.
- Collaborate with Office of Student Affairs regarding opportunities for student funding.
- Collect funding applications/requests and review with Director of Global Health.
- Provide administrative support to the course director in all matters related to course planning, delivery, and evaluation.
- Develop, update, and maintain the course page on the learning management system.
- Track timeliness of grade submissions.
- Additional Administrative Support (10%)
- Provide support as needed in preparation for and during major curricular courses and events (e.g., Transition to Clinical Medicine, Intern 101, etc.).
- Attend required meetings such as Year 3 and Year 4 Planning meetings and CONNECT sessions.
- With the clinical curriculum team:
- Proctor NBME exams.
- Assist with transcript audits.
- Create and distribute monthly newsletter.
- Complete curriculum and assessment mapping for courses that you coordinate.
- Assist staff and faculty with maintaining the curriculum and assessment maps for required courses.
- Coordinate/assist with additional projects as needed, including coverage of colleagues.
Requirements

Pay
Pay range: $52,100.00 - $70,300.00 - $88,600.00
