About the role
The Unit Secretary performs clerical duties on a nursing or clinical unit, following confidentiality expectations and fostering an atmosphere of cooperation by being professional, pleasant, and helpful to staff, patients, and families. They observe all general hospital and departmental policies, guiding principles, rules, and regulations, and complete required orientation and ongoing in-service education.
Responsibilities
- Observe all general hospital and departmental policies, guiding principles, rules, and regulations.
- Maintain patient charts and electronic medical records for admissions, transfers, and discharges.
- Work within the electronic system to ensure labs and other communications/orders are addressed in a timely manner.
- Report needed repairs to related services.
- Make emergency phone calls as directed.
- Answer telephones and relay messages accordingly.
- Adhere to Butler Hospital’s service standards.
- Manage unit census/daily attendance and report attendance numbers daily.
- Maintain supply orders for designated units.
- Keep a supply of all necessary forms, packets, and patient folders.
- Manage incoming faxes and telephone calls.
- Assist patients in locating appropriate clinical staff to address their needs.
- Perform various other clerical duties as needed, including data entry (e.g., BASIS or other scales), mailing patient information packets, and calling patients to provide basic information.
Requirements
- High school graduate or equivalent, including coursework in English, typing, spelling, and arithmetic.
- Experience in clerical work is required.
- On-the-job training in hospital practices, procedures, and medical terminology.
- Ability to perform duties under stress and in a busy environment.
