Location: Villanova, PA | Full-time, 10-month position (August 1 – May 31, typically 10:00 a.m.–6:00 p.m., with earlier hours on Fridays and 10 weekly front-desk hours in late afternoon/evening)

About the role

The Tutoring Coordinator manages administrative duties and day-to-day coordination of tutoring operations, including limited tutoring within the Writing Center. The role supports the Associate Director, Tutoring Services, Assistant Director of the Math Center, and Senior Director of the Writing Center with responsibilities such as managing tutoring schedules, hiring paperwork, student payroll, space management, and auditing tutoring records.

Responsibilities

  • Staff the front desk of The Learners’ Studio:
    • Match arriving tutees with tutors
    • Ensure sessions begin and end on time
    • Monitor tutor punctuality
    • Provide low-level space management support, including:
      • Remind occupants of professional conduct standards (timeliness, professionalism, headphone use)
      • Escalate persistent or serious space management issues to center directors
    • Assist tutees in scheduling future appointments
    • Assign walk-ins to available tutors
  • Administrative duties:
    • Manage scheduling platforms in collaboration with directors:
      • Block tutor availability for conflicts or absences
      • Assist directors in locating information in WCOnline
      • Update WCOnline how-to materials (handouts, manuals)
    • Oversee tutor hiring process and student payroll for TLS, WC, and Athletics tutoring
    • Audit WCOnline reports to ensure hours match automated time tracking
    • Track tutor training attendance and send reminders/RSVP forms for training events
    • Maintain up-to-date rosters of Varsity Student-Athletes
    • Ensure client report forms are completed for all appointments
  • Semester scheduling:
    • Create and input semester tutoring schedules for TLS, WC, CSP, and Athletics in WCOnline
    • Manage day-to-day scheduling needs
  • Attend and promote events:
    • Participate in promotional events (e.g., Freshman Orientation Resource Fair, College Resource Fairs, class visits)
    • Plan special events (e.g., Peer Tutor of the Year Awards)
    • Create promotional materials (e.g., monthly event flyers)
  • Writing Center support:
    • Conduct 5 weekly hours of Writing Center tutoring
    • Cover tutoring shifts during peak times or tutor absences

Requirements

  • Bachelor’s degree required
  • Aptitude for managing scheduling software
  • Minimum one year of administrative or operations experience
  • Tutoring or mentoring experience at the college level
  • Experience working with diverse populations
  • Demonstrated ability to work as an advisor or tutor preferred
  • Ability to manage multiple projects in a fast-paced environment
  • Strong problem-solving and judgment skills
  • Outstanding interpersonal skills and ability to build positive relationships with students, faculty, and staff
  • Excellent written and verbal communication skills
  • Commitment to maintaining confidentiality
  • Strong attention to detail and timeliness

Preferred Qualifications

  • MA/MFA in English, Creative Writing, or a related field
  • WCOnline software familiarity/expertise
  • 1+ years of Writing Tutor experience
  • Hospitality experience

Pay

This position falls within hourly grade 12, with a range of $21.92–$29.12/hour. The final salary will be determined based on qualifications, department budget, market data, and internal equity.
