Turtle Island Tales Program Coordinator I

About the Role

Turtle Island Tales is looking for a dynamic and motivated individual to provide program coordination and administrative support to the research team and students dedicated to supporting well-being for Native American families and communities. Turtle Island Tales functions within the Center for American Indian and Rural Health Equity (CAIRHE), an official state of Montana research center designated by the Montana University System Board of Regents. CAIRHE’s mission is to reduce significant health disparities in Native and rural communities through community-based participatory research (CBPR) that is considerate of and consistent with their cultural beliefs. In collaboration with partners across multiple states, Turtle Island Tales is an evidence-based obesity-prevention intervention that promotes well-being for Native American families with young children.

Responsibilities

  • Program Coordination
    • Manage student research assistants
    • Training, scheduling, planning, coordinating, and overseeing tasks
    • Pack, ship, and manage kits
    • Manage and update shipping calendar for each community
    • Physically ship kits to partner communities
    • Track inventory and manage physical storage
    • Manage and track inventory on Cloud management system
    • Assist with cost calculations
    • Take meeting notes and align with file management system
  • Financial and/or Fiscal Management
    • Order program supplies using ChromeRiver/SmartBuy
    • Assist with completing Chrome River reports
    • Assist with monthly budget reconciliation for HC2/Turtle Island Tales indexes
    • Maintain notes on fiscal-related tasks, timelines, and protocols
    • Lead monthly budget updates during internal meetings when applicable
  • Communications
    • Attend staff meetings and meetings with community partners and collaborators; take real-time notes on Cloud file management system
    • Assist with creating content for and managing social media and websites for programs, following web accessibility requirements and best practices
    • Use professional communication skills to represent the program in meetings over the phone, in person, or virtually

Requirements

  • Progressively responsible program coordination work experience with an emphasis on coordinating services and activities or an equivalent combination of relevant education and/or experience.
  • Demonstrated knowledge of and/or experience with purchasing, inventory management, costing, and other related budgeting principles.
  • Demonstrated experience organizing and prioritizing multiple work assignments, deadlines, and exercising adaptability to changing priorities while maintaining a positive, effective, and professional attitude.
  • Demonstrated proficiency in the use of word processing (MS Word), spreadsheet (MS Excel) software, web-based communications, and social media.

Preferred Qualifications

  • Demonstrated experience coordinating services and activities and providing administrative support for an education/health-related organization.
  • Demonstrated experience or interest in working with Native American communities.

  • Organizes and enters data, interprets results, and prepares reports with accuracy.

Special Requirements

  • Continuation of employment is contingent upon availability of funding.
  • Must possess a valid driver’s license, an acceptable driving record, and meet all State of Montana requirements to operate State/University vehicles. (If the successful candidate possesses a valid out-of-state driver’s license, they must obtain a valid Montana driver’s license within 60 days of hire.)
  • Transporting items may be required when receiving and managing Turtle Island Tales program inventory.

Pay

Salary ranging from $18.36 to $22.50 per hour.

Benefits

This position is benefits-eligible and has a union affiliation with FOCUS-MFPE. The FTE ranges from 0.5 to 1.0.
