As a Trust & Estates Legal Administrative Assistant, you will play a crucial role in ensuring the seamless operation of trust and estate matters. Your meticulous attention to detail will support attorneys in delivering exceptional service to clients, while your organizational prowess will keep critical processes on track and compliant.
Responsibilities
- Prepare, revise, proofread, and format legal documents, correspondence, trust agreements, wills, powers of attorney, and probate filings.
- Assist attorneys with trust and estate administration matters, including gathering financial information and maintaining case files.
- Coordinate court filings, probate submissions, and manage related deadlines.
- Manage attorney calendars, schedule client meetings, court appearances, and conference calls.
- Communicate professionally with clients, financial institutions, courts, accountants, and advisors.
- Open new matters, maintain electronic and physical files, and ensure proper document organization.
- Track deadlines for probate filings, trust administration requirements, tax submissions, and client deliverables.
- Prepare engagement letters, invoices, expense reports, and billing entries.
- Assist with preparation of estate inventories, asset summaries, and supporting documentation.
- Handle confidential client information with a high degree of professionalism and discretion.
Requirements
- Proven experience in a legal administrative role, particularly within trust and estates.
- Proficiency in preparing, revising, and managing legal documentation with precision.
- Strong organizational skills and the ability to manage multiple tasks and deadlines.
- Excellent communication skills, both written and verbal.
- High degree of professionalism and discretion in handling confidential information.
Skills
- Familiarity with legal software and document management systems.
- Experience liaising with courts, financial institutions, and other external parties.
- Knowledge of tax submissions and estate inventories.
Qualifications
- Associate's degree or higher in a relevant field.
- Certification in legal administration or paralegal studies preferred.
